We’re currently seeking a Practice Manager to lead our 20-person team. This individual will play a key role in overseeing daily operations, managing staff, and ensuring high levels of client satisfaction. Job Summary
The Practice Manager will be responsible for managing the day-to-day operations of Rock Bridge Animal Hospital, focusing on human resources, client relations, financial management, and business development. This role requires a highly organized, detail-oriented leader who can balance multiple tasks and lead our team with compassion and efficiency.
Key Responsibilities
Human Resources
- Directly recruit, interview, and hire support staff personnel.
- Supervise and manage support staff, overseeing disciplinary actions, terminations, and legal compliance.
- Ensure all staff are properly trained and continually educated to perform their roles effectively.
- Mediate personnel issues, manage employee motivation, and foster a positive work environment.
- Manage employee performance evaluations, development, and ongoing training programs.
- Schedule personnel and manage employee benefits.
- Process payroll on a regular basis.
- Maintain employee manual, policies, and procedures, including OSHA compliance.
- Participate in weekly staff meetings.
Reception Duties
- Provide excellent customer service to clients in person and over the phone.
- Enter client and patient information into the computer system.
- Check patients in and out for appointments, surgeries, and boarding.
- Process payments, balance the drawer, and make daily deposits.
- Manage client communication, educate clients on pet healthcare needs, and maintain a clean, organized front office environment.
Patient/Client Production
- Ensure excellent service with each client interaction, working closely with the veterinary team to optimize client satisfaction.
- Utilize scheduling, coordinating, and motivational techniques to improve overall hospital performance.
- Oversee hospital facilities, building maintenance, and housekeeping standards.
Accounting and Billing
- Oversee daily bank deposits and review accounts receivable.
- Ensure collections procedures and policies are followed accurately and in a timely manner.
- Periodically review service fee schedules and adjust as necessary.
- Procure office supplies and equipment, ensuring optimal pricing.
Business Development
- Supervise or prepare all business accounting reports and transactions.
- Audit performance to ensure correct accounting methods and procedures are followed.
- Develop hospital budgets and growth projections.
- Lead marketing efforts to attract and retain clients.
Other Duties as Assigned
- Be flexible and willing to take on additional responsibilities as needed.
Qualifications
Required:
- Previous management experience, preferably in a veterinary or healthcare setting.
- Strong leadership and interpersonal skills, with the ability to motivate and manage a diverse team.
- Exceptional attention to detail and organizational skills.
- Proficiency with multiple types of computer software (Microsoft Office, practice management software, etc.).
- Excellent communication skills, both written and verbal.
- Ability to handle multiple tasks efficiently in a fast-paced environment.
- Basic understanding of accounting principles, payroll, and budgeting.
- Strong math skills and an ability to manage financial reporting.
Preferred:
- Experience in a veterinary practice setting.
- Knowledge of OSHA requirements and employee compliance.
- Previous experience with Fear Free Certification or willingness to obtain.
