Leasing Assistant – Part Time

The Community Assistant / Leasing Agent is primarily responsible for providing high-quality customer service and dedication to our current and future residents. A successful Leasing Assistant will provide excellent customer service to our residents both current and future as well as their Guarantors, and administrative support to the office staff, take pride in the properties, and understand that this role is critical to the reputation of the property.

Responsibilities

  • Understand standards of property management including Fair Housing laws, Tenant/Landlord rights, and general real estate principles.
  • Demonstrate excellent customer service during each encounter with residents, guarantors, prospects, vendors, officials, and community members.
  • Monitor community, office, and other common areas for superior curb appeal, general cleanliness, and organization.
  • Assist with annual unit turnover and help execute move-in/move-out procedures.
  • Participate and assist with the execution of marketing efforts on campus and in the community, customer appreciation events, and other special events.
  • Ensure accurate documentation is in files and assist in the collection of required fees per company policy.
  • Seek feedback from residents and communicate feedback with the team.
  • Respond to after-hour emergency issues as needed.
  • Perform other duties as directed by General Manager.

Duties

  • Maintain the Leasing Email Daily and respond to all new inquiries within 24 hours
  • Enter all leads from the Leasing Email into Entrata; including but not limited to Rent.com, Zillow,

Apartments.com, Google, Referrals, and more.

  • Respond to all showing inquiries in Entrata and assign an agent to each new lead.
  • Schedule showings on the Entrata calendar and assign an available agent
  • Clear Entrata Dashboard daily including, Leads, Applicants, and Residents, and ask management any questions on how to best respond to prospects and residents.
  • Answer all incoming phone calls from residents and prospects and add a note for all contact to the activity log
  • Review all voicemails and call back anyone needing a showing or inquiring about housing
  • Move all emails in the leasing email to the appropriate folder and respond to all emails in the folders via your Entrata dashboard
  • Do not respond to emails via the leasing email, all emails are to go through Entrata.
  • Take showings as needed when agents are unavailable.
  • Greet all residents and prospects that come into the office and assist them with what is needed.
  • Attend regular resident events and help set up and work events as needed.
  • Assist in creating marketing materials and social media campaigns as requested by management.
  • Street team on campus with promo and market with flyers on campus when needed.
  • Send all release requests to the appropriate party.
  • Attempt to handle resident concerns and questions to the best of your ability.
  • Maintain Hometeam Follow-Up procedure: Call prospects first, then email if you cannot get ahold of them.
  • Assist with larger projects as needed and assigned by management.

Requirements & Qualifications

  • Must be available to work 10-30 hours a week between Monday – Saturday
  • Pass a criminal background check
  • Have reliable transportation
  • It is preferred for the Leasing Assistant live at a Roland property.
  • Demonstrate a high level of integrity and professionalism.
  • Possess strong administrative, organization, and both written and verbal communication skills.
  • Be a self-motivated individual and excel at working in a team environment.
  • It is preferred for an assistant to have relevant industry experience, property management, or student housing experience is a plus.
  • Experience with Entrata software is preferred.
  • Ability to exemplify HomeTeam’s mission statement.
