Job Summary
Act as point of contact among hospital staff, vendors, external partners and the information technology department.
Manage information flow in a timely and accurate manner
Maintains information technology appointment schedule by planning and scheduling meetings, webinars, training sessions as needed.
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders
For supplies; and verifying receipt of supplies.
Format information for internal and external communication-memos, emails, presentations, reports
Assists with document preparation for meetings, conferences, etc.
Take minutes during meetings
Effectively track action items and follow-up to closure. Provide timely reminders to stake holders and care givers to achieve planned dates and timely completion of
Administrative tasks and compliance requirements.
Effectively manage executive and departmental calendars including, but not limited to on-call calendar, out of office, etc.
Duties
- Bachelor’s degree in computer information systems or equivalent experience in healthcare and education in lieu of degree.
- Manage Help desk tickets in timely and efficient manner
- Triage, install and make changes/repairs to computer hardware and software
- Perform remote troubleshooting through diagnostic techniques and pertinent questions
- In professional mannerism walk the end user through the problem solving process
- Follow up with end users to ensure issues were resolved
- Encourages and builds positive relationships and communicates effectively with all in house staff, outside agencies and vendors
- Stock room management including shelfing, repair and inventory
Experience
- Previous experience in an administrative or office management role is preferred.
- Strong customer service background with the ability to interact effectively with clients and colleagues.
- Proficiency in computer applications such as Microsoft Office Suite (Word, Excel, PowerPoint) is essential.
- Excellent proofreading skills with attention to detail for accurate documentation.
- Ability to type efficiently and manage multiple tasks while maintaining a high level of organization.
