Job Summary:
We are seeking a highly organized and customer-focused HVAC Dispatcher to coordinate service calls, dispatch technicians, and ensure timely job completion. The ideal candidate will have excellent communication skills, problem-solving abilities, and experience in scheduling and dispatching HVAC service teams.
Key Responsibilities:
Dispatch & Scheduling:
- Assign and schedule HVAC technicians to service calls based on urgency, location, and skill set.
- Optimize scheduling to ensure maximum efficiency and minimal travel time.
- Monitor job progress and reassign tasks as needed.
Customer Service:
- Serve as the main point of contact for customers, handling service requests and inquiries.
- Provide accurate time estimates and updates regarding service appointments.
- Resolve customer concerns.
Communication & Coordination:
- Maintain constant communication with technicians to ensure timely job completion.
- Relay work orders, job details, and customer concerns to field staff.
- Coordinate with suppliers and vendors for parts and materials when needed.
Administrative Duties:
- Update service tickets, work orders, and customer records in the dispatch system.
- Verify completed jobs and ensure proper documentation for billing.
- Assist with invoicing, job costing, and other administrative tasks as required.
Qualifications & Requirements:
Experience:
Previous experience in dispatching, service coordination, or a similar role preferred.
Skills:
- Strong multitasking and organizational abilities.
- Excellent customer service and communication skills.
- Proficiency in scheduling software and dispatch systems (e.g., ServiceTitan, Housecall Pro, or similar).
Knowledge:
Familiarity with HVAC terminology, parts, and services is a plus.
Other:
Ability to handle high-pressure situations and work in a fast-paced environment.
