Hours & Status: Full-time Monday thru Friday 8am-5pm

POSITION OVERVIEW

Join our team of skilled and ambitious professionals who share a dedication to serving and enhancing the voices of survivors of relationship abuse and human trafficking. The Facilities Manager is responsible for overseeing the facilities activities of Safe Haven Ministries. Maintains and oversees Safe Haven’s grounds, building and equipment to ensure that the environment is safe and functional. Duties include negotiating contacts with service providers, inspecting facilities, minor repairs and ensuring that safety regulations are in place and meet the highest standard of excellence.

ORGANIZATIONAL OVERVIEW

Safe Haven Ministries—a nonprofit organization located in Grand Rapids, Michigan—believes in a multi-faceted approach to serving victims/survivors of domestic violence and human trafficking, while also working to prevent violence in our community. Safe Haven offers confidential housing services; emergency safe shelter; individual case management; support groups; children’s programming; and primary prevention training and technical assistance for the entire community. Safe Haven is committed to serving all individuals impacted by domestic violence, sex trafficking and labor trafficking, and values creating a safe haven for all.

SUMMARY OF DUTIES (Essential Functions)

  • Contractor Management: Develop and maintain a system to monitor and review the performance of all outside contractors, including those handling trash removal, lawn care, snow plowing, fire alarm systems, elevator maintenance, and more. Conduct annual reviews of contracts and pricing.
  • Staff Support: Address staff calls about system operation issues. If no service contract is in place, the Facilities Manager should handle repairs or adjustments. The Facilities Manager will coordinate with outside technicians as needed.
  • Building Maintenance: Oversee the maintenance and condition of building components, including lighting, flooring, walls, ceilings, and heating units. Manage tasks such as bulb replacements, filter changes, plumbing repairs, and paint touch-ups. Conduct Housing Quality Standards reviews for Safe Haven's Safe Transitions Housing Program.
  • Bid Management: Develop specifications and obtain bids for special services like window washing, carpet cleaning, and large-scale painting.
  • Groundskeeping: Monitor and maintain the grounds beyond contracted services, including litter pick-ups and snow/ice removal from sidewalks and gates.
  • Safety and Security: Ensure the facility’s safety and compliance with regulations. Develop emergency plans, manage security systems, and oversee safety protocols.
  • Vendor Coordination: Work with external vendors for maintenance and repair projects. Review quotes, negotiate contracts, and supervise third-party work.
  • Space Planning: Optimize space usage and layout. Collaborate with the team to meet their needs, assist for event setup and suggest improvements.
  • Inventory Management: Keep track of equipment and supplies, manage procurement, and ensure stock levels are adequate while controlling costs.
  • Budgeting and Reporting: Assist with budgeting for facility maintenance and improvements. Provide regular reports on facility operations and performance.
  • Compliance: Stay updated on relevant laws and regulations. Ensure facility practices meet legal requirements.
  • Emergency Response: Collaborate with Safe Haven staff during emergencies like power outages or storm damage.
  • Daily Operations: Work with the CEO and Leadership Team on daily facility operations, including managing services and scheduling maintenance.
  • IT Management: Oversee IT vendor relationships and staff technology. Troubleshoot issues and support the team with technology solutions.
  • Volunteer Management: Manage volunteers that assist with repairs, grounds keeping and special projects.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED OR PREFERRED

  • 3-5 yrs of experience in the Facility Maintenance/Management Space
  • 3-5 yrs of experience in Project Management
  • Able to interact effectively with management, staff, clients, donors, and vendors
  • Must handle confidential information sensitively
  • Strong oral and written communication skills; experience with Google Drive and WordPress a plus
  • Creative problem-solving abilities
  • Excellent interpersonal skills
  • Ability to work independently and adapt to changes
  • Housing Quality Standard Training (through SHM)

Job Type: Full-time

Pay: $55,000.00 - $60,000.00 per year
