Job Title: Administrative Service Executive Assistant
Location: Philadelphia, PA
Reports to: Chief Operating Officer (COO)
Department: Administration/Facilities
Classification: Exempt

Overview:
Our client is seeking an experienced Administrative Service Executive Assistant to provide comprehensive support to the Chief Operating Officer (COO). This key role involves managing essential administrative functions and office operations to ensure efficiency, maintain organizational structure, and enhance daily operations.

Key Responsibilities:

  • Oversee administrative duties, including clerical support, purchasing, and office management.
  • Manage scheduling, email handling, and file organization using Microsoft Office.
  • Prepare agendas, handle mail, and provide scheduling support for the COO.
  • Maintain physical and digital filing systems, ensuring confidentiality and easy access.
  • Perform staff evaluations and assist in maintaining agency standards.
  • Manage incoming and outgoing communications, ensuring smooth agency operations.
  • Participate in staff meetings and professional development as required.

Qualifications:

  • Bachelor's degree preferred, or 2–3 years of office management experience. High school diploma with 4–5 years of relevant experience also considered.
  • Proficiency in Microsoft Office and office management software.
  • Strong organizational and communication skills, with a focus on confidentiality.
  • Ability to work effectively in a team-oriented environment.

  • Occasional physical demands, including lifting up to 25 lbs and mobility within office space.
  • Moderate noise levels and varying work conditions.
