Position Summary:
Reporting to the Director of Education, the Group Tour and Family Programs Manager oversees Museum Experience and Education (MEE) department administration, reporting, and scheduling education programs and conceives, implements, and evaluates designated programs.
This position manages and maintains MEE department schedules for Museum educators; works closely with Museum volunteers, other departments, and contractors to synchronize programs and events; manages program budgets, evaluations; and provides administrative support to the MEE department.
The position is based in San José, California, with staff following a hybrid schedule of at least three days per week on-site, after a minimum one-month, full-time, on-site onboarding period, which may be extended as needed.
The role maintains a visible community presence and regularly participates in community events, including evenings and weekends.
Duties and Responsibilities
- Manage and promote group tours and family engagement initiatives to further SJMA mission to nurture empathy and connection by engaging communities with socially relevant contemporary art.
- Serve as primary MEE Department support for SharePoint and Altru to facilitate interdepartmental communication.
- Manage quarterly Art Lab Journal, and collaborate with the director of museum experience and education to provide family-oriented interpretive activities for the Koret Art Learning Lab.
- Support and contribute to staff training and the development of educational materials, projects, and touring strategies for group Museum visits.
- Serve as the primary Museum contact and scheduler for group tours and related programs.
- Communicate with visiting groups about tour program expectations and needs and relay that information to Museum educators.
- Welcome all visiting groups and conduct Museum tours as needed.
- Manage details of group visits and programs with key staff across multiple departments.
- Generate monthly group tour calendar and distribute schedules to key staff across departments.
- Manage invoicing, payments, evaluation, and reporting for group visits.
- Collaborate with director of museum experience and education and MEE department staff to conceive, plan, implement, market, and evaluate studio art workshops and community-based public programs on- and offsite. Tasks include: act as primary project manager for these programs; schedule Museum educators; negotiate terms of service and contracts; order/manage materials; and arrange all logistical aspects of the programs.
- Work closely with the manager of special projects and community partnerships to facilitate on- and off-site collaborations with local institutions for Community Day and other designated programs. Incorporate performances from community-based youth organizations into the programming.
- Implement qualitative and quantitative evaluation of programs for assessment and reporting needs.
- Support coordination of Art Camps.
- Provide support for Museum volunteers on an as-needed basis.
- Coordinate and participate in new MEE Department initiatives.
Qualifications
- Bachelor of Arts (M.A. desirable) in Art, Art History, Education, Museum Studies, or related field, plus 2 years related experience in museum and/or art education, or equivalent combination of education and experience.
- Basic understanding or demonstrated interest in developmental stages for K-12; local and national art education standards; application of learning theories to art museum education
- Excellent organizational and communication skills, including the ability to create schedules, handle extensive phone calls, and maintain accurate records
- Experience in project management, creating schedules, and coordinating staff
- Demonstrated commitment to customer service and team work environment
- Sales and marketing skills, a plus
- Bilingual in Spanish and/or Vietnamese, a plus
- Ability to work weekends and evenings
Abilities
- To perform this job successfully, an individual must have familiarity with Microsoft Office, FileMaker Pro, Altru, and Adobe CS Software
- Ability to read and write, to interact with students, teachers, children, adults, patrons, and ability to communicate clearly both verbally and written with all levels of the organization.
