Position Description
POSITION TITLE: Executive Administrative Assistant - Elementary
FLSA: Non-Exempt
REPORTS TO: Building Principal
TERMS OF EMPLOYMENT: 210 days with benefits and specified in the Classified Agreement.
QUALIFICATIONS:
High school diploma required.
Educational office training preferred.
Strong computer skills and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Use of 10-key calculator by touch; accuracy with numbers.
Highly motivated with strong organizational skills.
Effective interpersonal and organizational skills.
Ability to lift 40 pounds to shoulder height occasionally.
ESSENTIAL JOB FUNCTIONS:
Prepare requisitions for orders.
Assist with the scheduling and management of the principal’s appointment calendar.
Check in/out all substitute teachers.
Track all employee leave forms.
Coordinate In-School and Out-of-School suspensions.
Prepare monthly emergency drill reports.
Prepare daily receipts and deposits; reconcile monthly expenditure reports.
Open, sort, and distribute interoffice and regular mail.
Prepare items for teacher orientation and teacher handbook.
Monitor building use reports for scheduling, activity conflicts, etc.
Monitor copy and fax machines, telephones, and soda equipment. Place service calls as necessary.
Coordinate preparation of Registration, Parent Orientation, and Parent/Teacher Conferences.
Screen phone calls and route to appropriate personnel.
OTHER JOB RESPONSIBILITIES:
Works with the administrator and serves as a liaison on select or assigned matters of confidential labor relations, employment policies and related matters.
Assist in preparation of building Crisis Response Manual and staff emergency phone list.
Sort and distribute shipments/deliveries.
Collect all moneys for student fines, clubs, classes, fundraisers, pop machines, etc.
Process collection of all returned checks.
Attend meetings/trainings as required by administration.
Works overtime as required.
Other duties as assigned by administration.
