The Doubletree by Hilton Campbell - Pruneyard Plaza is looking for a Sales & Event Services Coordinator to join the team!
The Sales & Event Services Coordinator will be responsible for assisting the sales department in achieving revenue and customer satisfaction goals by efficiently and effectively through administrative work. Furthermore, they will be responsible for servicing all group room blocks, meetings and events.
Hourly Rate: $27 - $31
KEY AREAS OF RESPONSIBILITY
Essential Duties:
- Approach all encounters with guests and coworkers in an attentive, friendly, and service oriented manner.
- Maintain regular attendance in compliance with hotel standards, scheduling which will vary according to the needs of the hotel. Availability to occasionally work weekends, evenings based on business demands.
- Maintain high standards of personal appearance and grooming (per brand standards).
- Complying with hotel stands and regulations to encourage safe and efficient hotel operations.
- Work with clients to detail upcoming functions/meetings, provide suggestive upselling, obtain guarantees, confirm arrangements, payment, generate BEO’s, Banquet Checks, and Group resumes. Distribute updated BEO’s/Group resumes to each department.
- Attend and lead weekly BEO meetings. Compile and share meeting planner surveys.
- Answer calls/emails and qualify to ensure all inquiries are properly processed accurately, timely and in a professional manner.
- Ensure client satisfaction including problem resolution for any issues that may arise with groups/event point of contacts.
- Inputting of group rooming lists. Creation of attendee websites for groups that are reservation by individual. Occasionally assist with individual reservations as needed for group/negotiated segments.
- Maintain flow of information and communication for all Groups, Meetings & Events within all appropriate department heads and/or team members.
- Create and distribute Daily Event Revenue Recap banquet postings. Reconcile for accuracy.
- Maintain and organize Sales files and Delphi.fdc documents per specified standards.
- Assist managers on creative projects including flyers, sales collateral, invitations, special events, and etc.
- Collaborate with other departments to ensure queries, deliveries, and VIP amenities are communicated efficiently.
- Enter group pickups and banquet actuals in Delphi weekly.
- Manage file closeout process to include thank you letter to client and provide final bill and process Honors meeting planner bonus points (if applicable).
- Monitor and order office supplies and sales collateral to ensure proper inventory.
- Organize in house deliveries, VIP amenities, welcome letters, transportation schedules as needed and communicate with Department heads.
- Other items as they relate to the Sales and Marketing effort of the hotel as well as other items as needed by entire management staff.
- Be familiar with all hotel and sales policies and house rules.
