The Maintenance Coordinator plays a key role in supporting the maintenance team by managing invoices, vendors, spare parts, and supplies, as well as coordinating planned maintenance activities and repairs.
Duties and Responsibilities:
- Procurement & Inventory Management:
- Create and manage purchase orders for maintenance supplies and spare parts using the company’s CMMS (Computerized Maintenance Management System).
- Oversee inventory processes, including requesting, receiving, tracking, and controlling stock levels.
- Conduct cycle counts, verify physical inventory, and recommend adjustments to prevent stockouts.
- Forecast parts purchasing needs based on historical consumption data.
- Vendor Management:
- Manage vendor relationships, analyze pricing and lead times, and ensure compliance with quality standards and specifications.
- Maintenance Coordination:
- Plan and schedule third-party services, preventive maintenance, corrective repairs, and equipment rebuilds.
- Monitor and manage work order statuses to maintain clear priorities and ensure visibility.
- Receive, prioritize, and process incoming work requests. Conduct scope analysis and develop accurate work plans.
- Kitting & Staging:
- Arrange staging and kitting of parts and materials for maintenance tasks.
- Data & Reporting:
- Generate and distribute KPI reports on expenses, preventive maintenance compliance, downtime, work order backlog, inventory performance, and more.
- Housekeeping & Safety:
- Maintain organization and cleanliness of parts and materials storage areas. Ensure adherence to safe storage and material handling practices.
Education Required:
- High School Diploma or GED.
Experience Required:
- 1–3 months of relevant experience or training.
Experience Preferred:
- Data entry and inventory management.
- Experience in planning and scheduling.
- Familiarity with Lean Manufacturing principles.
Technical Skills and Abilities:
- Proficient in MS Outlook, Excel, and Word.
- Strong listening, communication, and organizational skills.
- Ability to read and follow instructions, both written and verbal.
- Aptitude for solving problems within standardized processes.
- Basic mechanical knowledge preferred.
Physical Demands:
- Ability to sit, stand, walk, bend, and use hands for tools and equipment.
- Capable of lifting, pushing, pulling, and carrying heavy items.
- Comfortable performing repetitive motions and working in physically demanding environments.
Work Environment:
- Exposure to varying weather conditions and mechanical equipment.
- May involve working in high or confined spaces.
- Non-traditional hours, including nights, weekends, and holidays, with occasional travel as needed.
