Position Summary

The Customer Service Administrator is responsible for providing administrative support and ensuring exceptional customer service to clients. Serving as the Seizmic, Inc. point of contact, the Customer Service Administrator will maintain communication internally and externally, track progress, approvals, and ensure proper documentation procedures are followed.

Essential Functions

  • Point of contact for customers, responding to emails and phone calls.
  • Handle customer complaints and concerns in a timely and professional manner.
  • Provides completed engineering documents to clients for review and approval.
  • Coordinates with Engineering Department and Customer Service department when changes are needed for projects.
  • Track project approvals, ensuring approved projects have been stamped by the printing station.
  • Submit completed engineering documents for approval.
  • Distribute completed digitally signed job.
  • Document notes, process closed jobs, and email files in FileMaker.
  • Provide backup support answering direct incoming phone calls.
  • Manage office supplies, such as updating expired stamps, ordering S sheets and paper, printer maintenance.
  • Assisting Project Coordinators with corrections.
  • Regular Attendance is required.
  • All other duties assigned.

Required Skills and Abilities

  • Excellent verbal and written communication skills.

  • Ability to act with integrity and professionalism.
  • Strong ability to prioritize and manage time efficiently.
  • Analytical skills including attention to detail and critical thinking.
  • Experience with Microsoft Office Suite including Outlook, Word, Excel, and Teams.
  • Experience with Adobe and Bluebeam.
  • Ability to problem solve.
  • Ability to work collaboratively and tactfully with internal teams.

Education and Experience

  • High school diploma or equivalent (required).
  • Must have at least 1 year or experience in a support role.
  • Experience in a construction environment is a plus.

Physical Demands

  • Ability to sit at a desk and work on a computer for extended periods.
  • Manual dexterity to operate a keyboard, mouse, and other office equipment.
  • Ability to communicate clearly and effectively on the phone, often with multiple parties and agencies.
  • Periodic walking, bending, kneeling, crouching, and lifting (up to 25 pounds) required.
  • Ability to remain standing for extended durations.

Work Conditions

  • The Customer Service Administrator will work in a typical office environment. The position involves working at a desk with a computer and other standard office equipment. The office is climate-controlled and has moderate noise levels.
