Construction Administrator

Are you an experienced construction administrator with a keen eye for details? We are looking for someone to help us manage our busy construction office and oversee contract administration, permitting and quality control for a growing team. Our ideal candidate has three years of construction administration support experience and a firm grasp of construction industry best practices. TWO MAIN AREAS OF FOCUS

Contract Administration
Assist with administrative aspects of subcontractor agreements from start to finish, supporting the project managers to stay on track

  • Provide administrative support to the VP of Finance and Operations
  • Prepare subcontracts for each trade and send to the subcontractor
  • Track the status and disposition of subcontracts in process
  • Act as a point of contact for vendors and subcontractors to obtain a signed, executed subcontractor agreement

Permit Coordination

  • Ensure that permits are issued in a timely manner while maintaining compliance with regulatory requirements and local, state and federal laws
  • Complete applications for permits, licenses, or other authorizations before processing them
  • Coordinate with architects, engineers, subcontractors, inspectors, and other relevant parties throughout the permitting process
  • Communicate with clients about the status of permitting applications and responding to questions about the permitting process
  • Coordinate with other departments within an organization to ensure that all permits are issued in a timely manner
  • Manage the permitting process, including reviewing applications for completeness, conducting inspections, issuing permits, and enforcing permit conditions
  • Provide information about the permitting process to clients, such as contractors or homeowners who are seeking permits for construction projects
  • At the end of construction, assist with issue-resolution to obtain TCO/CO
  • All other duties as assigned

Qualifications

  • Excellent written and verbal communication skills
  • Excellent interpersonal skills
  • Proficient computer skills (e.g. Microsoft Office Suite, Adobe Acrobat)
  • Ability to work methodically and analytically in a quantitative problem-solving environment and demonstrated critical thinking skills
  • Strong attention to detail, facilitation, team building, collaboration, organization and problem-solving skills
  • Candidates must be legally authorized to work in the United States on a full-time basis without requiring future sponsorship for employment visa status.
  • High school diploma or equivalent is required – some college highly preferred
  • 3 years of experience in construction services, administrative support, contract administration, or construction project management is crucial
  • Understanding of the construction industry and processes are beneficial- including codes, AIA documentation, and safety regulations
  • Basic math skills are desired

Job Type: Full-time

Pay: $23.00 - $30.00 per hour
