Position Overview

With direction from Executive Assistant to the CEO, the Office Coordinator is responsible for the execution of office tasks, procurement and distribution of SWAG packages, and other in-person event reception and venue preparedness (whether at the headquarters office or another locale).

This is a part time, office based position. The Office Coordinator will work in the headquarters office two to three days per week on average. Job responsibilities include office coordination and event & collateral work.

Office coordination

  • Coordinates in-office meetings by preparing the office, making catering arrangements, supporting cleanup, arranging COVID-19 screening, setting up supplies, etc.
  • Reports on any maintenance, and issues related to the office property. 
  • Ensures office activities are in compliance with lease terms.
  • Procures needed supplies and ensures there are stocked supplies including charging cables, kitchen supplies, paper, etc.
  • Distributes office supplies to team members as requested.
  • Distributes and/or ships SWAG to new hires and to existing team members as directed
  • Liaises with people operations and technology teams to support new hires processes ensuring that new hires have the equipment needed to perform their jobs prior to start date
  • Organizes and refills SWAG inventory.
  • Assists in the coordination of travel planning and administration for group events and in-person meetings. 
  • Packages and prepares any printed items for mail or trade show collateral.

In all categories, will perform miscellaneous job-related tasks as assigned.

Qualifications

Minimum Job Requirements 

  • High school diploma / GED or higher
  • At least 1 year of experience directly related to the responsibilities specified.

  • Works independently and makes decisions with risk-mitigation considerations
  • Collaborates well with others
  • Professional discretion, particularly related to sensitive and confidential matters.
  • Office reception skills including greeting visitors and responding to inquiries related to the office
  • Organizing and coordination skills
  • Proficiency with Google Workspace applications, particularly Google Meet, Drive, Calendar, Gmail, Slides and Sheets.
  • Strong verbal and written communication skills.
  • Excellent time and productivity management skills.
  • Ability to effectively transfer knowledge to team members.
  • Uses resources efficiently, meets deadlines, and keeps others informed of work plans and progress toward goals.

  • Ability to sit for long periods of time.
  • Continuous computer screen viewing and typing
  • Talking through the computer for many meetings and one-to-one conversations
  • Ability to prepare and ship large quantities of materials at the office
