Job Summary
Founded in 2000, the Hospice of the Northwest Foundation is a 501 c 3 nonprofit corporation dedicated to funding the programs and services of Hospice of the Northwest. Reporting to the Executive Director the Development Associate provides support to the Board of Trustees, the Executive Director and the Stewardship & Annual Fund Manager. The Development Associate maintains a high degree of accuracy and data integrity and is responsible for organizing, prioritizing and completing complex administrative projects. This roll provides office support to all areas of the Hospice of the Northwest Foundation including serving as a liaison to donors, trustees, and other departments as needed for a variety of development and stewardship efforts. Supports the Hospice of the Northwest Foundation in meeting its mission to raise, manage, and grant funds in support of Hospice of the Northwest, able to manage multiple projects and competing priorities and provide high quality outcome, working independently while able to meet deadlines. The Development Associate will manage the donor database as well as enter and maintain data in the Foundation bookkeeping program. The Development Associate will serve as a support person to the Stewardship & Annual Fund Manager for all duties relating to fundraising events and donor engagement The information described in this job description has been designed to indicate the general nature of the work performed. Essential Functions
Keeps current with Foundation software capabilities; performs upgrades as required in coordination with IS staff and policies and procedures. Works in various electronic systems (Donor Perfect, QuickBooks, Social Media platforms) to accomplish tasks. Maintains current files and/or database(s) in an accurate manner. Updates office manuals, files and contracts to ensure that the content is accurate and current. Orders and keeps current with office supplies and forms. Manages inventory of office storage facilities: off-site storage for auction items and onsite storage for archived records. Analyzes and processes gifts in a timely and accurate fashion, adhering to HNWF receipting/acknowledgement policy. Analyzes gifts to determine appropriate campaign, fund, and appeal and to select appropriate acknowledgement letter based on criteria and the source of the gift. Produces various reports pertaining to gift entry processes. Enters donations into donor management software, maintains database integrity and gift lists; adhering to system operations. Adds new constituent records to the database as needed, analyzes information and populates all appropriate data fields where information is available. Pulls mailing lists for fundraising appeals and invitations. Organizes and maintains the integrity of the hardcopy filing system for donations. Continually updates and corrects database records. Produces gift receipts and individualized acknowledgement letters for all donations in a timely and accurate fashion. Complies with all Skagit Regional Health, department and location specific policies and procedures. Performs bookkeeping duties including data entry of accounts payable, deposits, and pledges into QuickBooks. Reconciles HNW grants with bookkeeper quarterly. Provides support materials for annual audit. Prepares deposit slips and reconciles daily donations. Acts as lead staff for the preparation of the annual Foundation IRS audit. Serves as a major support person to the Stewardship & Annual Fund Manager for the Ports of Call and Celebration of Generosity events. Attends and actively participate in all department, team and/or committee meetings as appropriate. Completes all mandatory learning requirements in a timely manner. Performs other duties as assigned by Foundation Executive Director or designee.
Education
College degree in an appropriate field of study. Knowledge in project organization, special event organization, general accounting and finance principles, word processing, computer data knowledge.
Experience/Training
Minimum of one (1) year office experience, preferable in a nonprofit environment.
License/Certifications
State of WA Driver’s License required.
Other Skills
Strong verbal, written and interpersonal communication skills. Strong editing skills, proven organizational skills, ability to handle a variety of projects simultaneously. Attention to detail is essential. Self-motivated and self-directed. Possesses excellent customer service skills. Ability to work with volunteer boards, hospice staff, community members and vendors. Ability to meet deadlines. Experience in word processing, computer equipment and minute taking.
Physical Demands and Work Environment
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk and hear. They are also occasionally required to sit for long periods when working in the office. During special events, this position is very active and requires standing, walking, bending, kneeling and stooping. During events, the employee must be able to lift or move objects weighing over 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to focus. Must have vehicle to perform off site job duties for support of auction and other off site event related activities.
