The Facilities Project Coordinator (FPC) is responsible for coordinating design, construction, maintenance and move activities for renovation/refurbishment projects and equipment installations in clinical and non-clincal spaces in all building locations. The FPC may either directly lead projects or take a supporting role to the Project Manager on larger projects. Provide leadership with external consultants, internal stakeholders and Agencies Having Jurisdiction (AHJ) to manage project execution. The FPC coordinates personnel and furniture moves with IT and Engineering to include furniture reuse/reconfigurations and new procurement/design.
Develop project scope with internal stakeholders and external consultants. Scope can include but is not limited to: space planning/floor plan layout, department work flow planning, interior finishes, furniture/fixtures/equipment, and signage/wayfinding.
Works in conjuction with Project Manager, Architects and Engineers in design and construction document development.
Develop budget and schedule for projects including coordination of consultants and contracts.
Coordinate public and informal bidding activities on projects according to Hospital District policy. Maintain annual pre-qualification/informal bidding process. Register Public Works projects with the Department of Industrial Relations as required.
Plan and coordinate all construction facility impacts/mitigations with Plant Operations and users to minimize disruptions. Coordinate and communicate activities with AHJ's to meet regulatory requirements.
Perform move management coordination to support all projects, reconfigurations and maintenance initiatives. Collaborate with internal customers to understand departmental functions/work flows. Coordinate move/project logistics with internal customer,
Engineering, IT, and vendors including timelines, task deadlines and provide packing tools.
Coordinate clean-up of areas to make-ready for new use/moves. Manage storage of functional furniture/equipment and disposal of defunct furniture/equipment. Maintain vacant areas of the hospital to keep areas safe and clear of debris.
Design, coordinate and supervise furniture reconfigurations and warranty repairs, and signage/display installations with vendors to facility standards. Identify, source and order furniture, shelving, office and computer accessories, dispensers, waste receptacles both traditional and clinical as needed to support moves/projects.
Maintain furniture inventory, finish plan & fixture standards databases. Maintain archival project files, approved and as-built drawings, reports, drawings, inspections, submittals, and all other materials used to document compliant completion of the project.
Education: Bachelor Degree in a work-related discipline/field from accredited college or university; or an equivalent combination of training, education and experience necessary to meet the requirements of the position.Experience: Healthcare design and move management experience required. 2 years of project management/supervision experience and CAD proficiency preferred. HCAI/OSHPD experience a plus. Licenses & Certifications: Certification in Interior Design or Architecture preferredRequired Skills & Knowledge: Experience managing, planning or specifying systems furnishings. Ability to create space/floor plans. Proficient in Microsoft Excel, Word and Powerpoint. Strong verbal, written and presentation skills. Effective organizational, analytical and problem-solving skills with the ability to communicate a clear plan/recommendation. Ability to prioritize work and competing priorities with the flexibility to rapidly change direction. Effective interpersonal skills in building and maintaining relationships in all levels of the organization.
