Job Description

Summary/objective

The grant accountant is responsible for overseeing federal, state and grant funds on sponsored projects. This position will ensure compliance with Uniform Guidance and will operate as a primary resource and problem solver for federal, state, and grant agreements. This position is responsible for performing accounting and administrative tasks such as gathering and analyzing data, preparing and processing invoices, conducting audits and assessments, preparing monthly reports, closing documents, identifying and resolving discrepancies for sponsored projects. They may also prepare forecasts and models and budgets. Moreover, a grant accountant must comply with the state, federal, and local financial laws and regulations, keeping abreast of the latest changes.

1. Prepare and submit grant invoices, gathering, maintaining and documenting for each award expenses, receipts, and reports.

2. Provide basic oversight for funds related to grant projects to ensure compliance with budget and expenditures.

3. Monitor/track the status of each program through its program life cycle to include ensuring compliance, monitoring, preparation of invoices and desk audit documentation as needed.

4. Work with Budget Manager and advise management team on preparing grant budgets for proposals. Manage all post award activity such as tracking revenue and expenditures for allowable uses of grant funds.

5. Prepare budget-to-actual grant spending reports.

6. Manage financial accounting and reporting for institutional grants and awards from Federal, State, and local resources.

7. Prepare the Schedule of Financial Expenditures Report and assist in gathering documentation for auditors.

8. Account, analyze, and reconcile grants and other restricted programs funds accurately and timely and in compliance with governmental accounting requirements.

9. Coordinate with Finance/Accounting to verify grant monies received are deposited to proper account.

10. Prepare and publish accurate and timely monthly financial grant summary reports (Grant Status Reports).

11. Prepare workpapers, schedules, special financial analyses, reports and reconciliations on sponsored projects funding and expense, as requested by Principal Investigators and Vice Chancellor for Administration and Finance.

12. Perform other accounting related work and financial analysis, as assigned.

13. Gather audit reports from the Federal Clearing House.

14. Reviewing SAM.gov website for active registrations.

15. Submit grant reporting to federal and state entities and drawdown grant funds in a timely manner.

Required education and experience

• A Bachelor’s Degree in accounting, finance, business administration or any equivalent combination of training and experience.

• Three years of grant accounting experience with one year of general accounting experience.

• Experience or familiarity with various grant reporting.

• Excellent verbal, written, and social skills.

• Self-starter with efficient time management and organizational skills

Preferred education and experience

• Work experience in higher education or state institution in accounting, finance or related.

• Experience with Banner.

• Certified Public Accountant.

• Certified Research Administrator.
