St. Stephen's United Methodist Church Office Manager Job Description
SUMMARY Manages church office, serves as administrative assistant to the pastor and staff, schedules use of church facilities by members of the congregation and authorized outside groups, produces weekly church newsletter and worship bulletin, provides administrative support for various programs, projects, and activities as necessary and as directed by the pastor.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative:
- Answers phone, takes messages, and routes calls to other staff.
- Processes incoming/outgoing mail
- Monitors church email accounts
- Prepares and distributes routine correspondence for church business
- Prepares and distributes (by mail and email) weekly Shield newsletter with coordinated assistance from
- volunteers and staff
- Types and prepares copies of weekly worship bulletin in coordination with Pastor and Music Director
- Creates weekly announcement insert and posts signs
- Schedules building use for members and community groups according to guidelines
- Schedules weddings, funerals, and other special events in coordination with Pastor and other staff, arranging for
- building hosts as needed
- Updates membership, baptismal, and church directory records
- Maintains spreadsheet of Sunday School and Worship attendance and provides this information to Pastor
- Purchases office and worship supplies
- Sets up repair appointments for maintenance in conjunction with Trustees Committee
- Compiles and submits annual Year-End Report for district, and assists with preparation of reports due at annual
- Charge Conference
- Coordinates communication with cleaning service
- Coordinates with set-up staff to arrange furniture for special events
- Attends weekly staff meetings
- Other duties as assigned.
Financial:
- Records pledge payments; prepares quarterly pledge reports and end-of-year giving reports for members
- Works with Decision Grid to pay bills, track budget, run staff payroll, submit hours to Decision Grid, and
- maintain accurate records for all bank accounts
- Tracks, approves, and pays reimbursements with appropriate documentation
- Tracks managed and endowment funds and provides appropriate information to Finance Committee and/or
- Endowment Committee
- Provides monthly reports to Finance Committee as received from Decision Grid
- Assists with the annual stewardship campaign
- Cooperates with the annual audit, providing documentation as requested.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
EDUCATION/EXPERIENCE/SKILLS
- Bachelor's degree preferred
- Minimum 2 years experience using basic bookkeeping and PC word processing and spreadsheets in an office
- environment
- Minimum of 2 years experience in a team-based work setting
- Familiarity with Microsoft Excel, Quicken, and Publisher, and with basic internet and email capability
- Willingness to learn new computer software and processes
- Demonstrated effective verbal and written communication skills
- Ability to multi-task, prioritize, and deal effectively with interruptions
- Ability to maintain confidentiality
- Ability to lift and transport bulk office supplies
HOURS
35 hours/week. Monday through Friday with occasional weekend and evening hours.
SALARY
Salary - $40,740
BENEFITS
St. Stephen's UMC offers benefits for full-time staff including health insurance and retirement. The Office Manager position is considered full-time.
