Job Description
As a Legal Assistant in a boutique law firm, you will wear many hats. A typical day will include answering calls from prospective new clients and following a written script to determine whether we can help them. If so, you would coordinate the consultation and if they end up hiring us, you will oversee the onboarding process. There will be mail that comes into the office, and you will scan the documents and route them to the appropriate person. A Paralegal might ask you to mail out certified mail for them. If we have an estate plan signing that day, you will be asked to set up the conference room, welcome the clients as they come in and then serve as notary and witness. You will then prepare their estate planning binder. You will create invoices and record any payments that come in that day. If the owner has an upcoming seminar, you may be asked to call the venue and confirm that everything is ready and then call all the registrants to confirm their attendance. In addition, you would have emails to answer, phone calls to return and ongoing projects to work on. No two days will be the same, but every day will be busy.
This is an in-office position, and you may be the only employee in the office on any given day. The CEO is in the office most of the time, but our other employees are remote, so we always need someone in the office. The hours are from 8:30am – 5:30pm Monday to Friday.
Job Duties
· Receive and handle intake calls from potential new clients
· Receive, scan and sort incoming mail
· Office management: order supplies, organize office, etc.
· Assist with estate planning signings
· Prepare estate planning binders
· Notarize estate plans
· Confirm appointments
· Prepare and update various reports, in excel
· Attend and assist with estate planning seminars
· Open new files in our case management software
· Create invoices and record payments
· Assist paralegals with cases as needed

Step 2: If we see that you have the qualifications we are seeking and we sense that you would be a good fit, we will email you to schedule a 30-minute Zoom call. Make sure your resume, or cover letter has an email address on there so that we can contact you.
A couple notes about the Zoom call: 1) Show-up early. Punctuality is one of our core values. If you are late to the call, it’s a deal breaker; 2) Make sure you have tested Zoom so that you know how to use it. We use a lot of technology so if you can’t use Zoom, you’re probably not a good fit; 3) Dress for the job you want. We dress like professionals, but we aren’t stuffy. If you show up in gym clothes, you probably aren’t a good fit; 4) Don’t Zoom and drive. If we have a scheduled interview with you, please prioritize it. We are taking time out of our busy schedules to meet with you, and you will have our undivided attention. We respect and value your time, so we ask that you not be driving, not have screaming kids in the background, or be checking your email during our call. Be prepared and be present.
Step 3: If we are a good fit for you and you are a good fit for us, we will schedule an in-person meeting to take place at our office.
Step 4: If the meeting between you and the CEO goes well, you will meet with our Managing Paralegal. You will be working closely with her so it would be a good idea for the two of you to meet and make sure you’re a good fit. After all, we all want to work with people we like.
Step 5: We will send you a formal offer letter to join our Team!
