Service Writer Job Description
We employ detail-oriented service writers to help operate our service department and handle customer service interactions, reports, and repairs. The service writer responsibilities include providing the highest level of customer service, developing lasting customer relationships, and managing the service team members. The service writer maintains a strong working knowledge of all industry standards and practices as well as the company's products and services.
The most important role the service writer provides is being our direct link to the customer. We believe that it’s our job not to operate as a sales figure, but rather as an educator. The customer is capable of making decisions about their vehicle if they know what the failure is and what is needed to correct it. You should have the ability to develop and maintain strong, positive relationships with customers and also third-party vendors. We like to think of our service advisors as being a customer advocate rather than a salesperson!
Service Writer Responsibilities
- Delegating and directing service tasks, monitoring the progress of current projects, and managing service team members to ensure the team's objectives and sales goals are met.
- Creating and modifying repair orders, providing concise and complete information, and communicating with customers throughout the repair process.
- Handling customer complaints or concerns quickly and professionally to maintain good customer relationships and ensure repeat customers.
- Performing administrative tasks, such as managing and updating invoices, processing new orders, and tracking inventory.
- Auditing work and customer service to ensure the company's high standards, efficiency, and productivity goals are met.
- Maintaining strong relationships with manufacturers, dealers, and sales representatives.
- Helping to train new employees in company procedures.
- Maintaining a strong working knowledge of industry regulations, restrictions, and laws, ensuring the company's adherence to these regulations, and remaining current on the industry's standards and new innovations, materials, tools, and processes.
Service Writer Requirements

Daily Schedule Overview
- Open the shop and prepare technicians' repair orders so they’re able to begin work promptly at 8:00
- Maintain workflow, build estimates, contact customers
- Manage “break times” periodically
- Review open repair orders and contact customers with status updates around 4:00
- Close shop at 5:30
Job Type: Full-time
Pay: $52,000.00 - $80,000.00 per year
