SWISS POST SOLUTIONS is Hiring a Client Services Supervisor Near Hollywood, FL

Swiss Post Solutions (SPS) is a global outsourcing organization that offers both business and document processing services. We are currently looking for an Office Manager/Administrator. This is a full-time position with standard business hours (Monday through Friday).

Job Description

  • Project professionalism and demonstrate a positive and welcoming comportment toward all colleagues and guests.
  • Organize office layout and manage all conference room bookings, including catering for all meetings.
  • Provide general support to visitors, including both visiting employees and clients.
  • Serve as point person for all facilities needs including maintenance, mail, supplies, and billing.
  • Manage all shipping and receiving for Product and Events.
  • Organize office operations and procedures.
  • Ordering/stocking of office supplies, equipment, stationery, snacks, and beverages.
  • Monitor condition of carpets, floors, lighting, furniture, and restrooms and arrange for repairs and new purchases as needed.
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Coordinate with IT department on all office equipment.
  • Plan in-house or off-site activities, like parties, celebrations and conferences.
  • Duties include photocopying, scanning, copying documents to removable media, working with PDF, .JPG and .TIF formats, network shared folders, faxing, mail distribution, file room maintenance.
  • Assist with light office moves, picture hanging and file cabinet organization.
  • Support the Region SVP and team with administrative responsibilities.

Requirements

  • Proven experience as an office manager, front office manager or administrative assistant.
  • Hands on experience with office machines (e.g. fax machines and printers).
  • Outstanding organizational skills, with the ability to prioritize tasks and keep work areas clean and well stocked.
  • Ability to multitask, keeping up with daily email correspondence, meeting information, data entry, client requests, and office records.
  • Excellent oral and written communication skills as well as presentation skills to interface with all levels of management, associates, and vendors.
  • Strong computer skills especially Microsoft Office and knowledge of office technology/equipment.
  • Ability to apply complex problem-solving skills to achieve problem and process solutions.
  • Punctual, dependable and dedicated to achieving operational excellence.
  • Discreet, ethical and committed to maintaining a high degree of confidentiality.
  • Maintaining a consistently professional approach, with a willingness to take ownership and responsibility both within and outside one’s job domain.
  • Flexibility to accommodate client needs (early mornings, evenings, and weekends if necessary).
