Overview
Synergy Health Partners seeking a dedicated and organized Site Administrator to join our team administrative team at our Warren ASC. The ideal candidate will play a crucial role in managing the daily operations of our medical facility, ensuring that all systems run smoothly and efficiently. This position requires strong administrative skills, experience in an outpatient surgical setting, and familiarity with various medical systems and platforms. The ASC Site Administrator is responsible for all non-clinical, non-professional aspects of ASC operations. This role oversees the operational aspects of all ASC physical sites and their contents. The ASC Site Administrator is the responsible party for directing assigned staff and overseeing the work of all personnel with regard to reception, credentialing, buildings and grounds, physical plant, vendor relations, site security, and other non-clinical concerns.
Job Duties:
· Is the primary administrator for the ASC site and, as such, is responsible for the orderly ongoing operations of the ASC site for all non-clinical matters.
· Participates in Performance Improvement Committee and process including areas of safety, medical records maintenance, patient satisfaction, physician satisfaction, documentation compliance with OSHA standards and risk management.
· Is the responsible party for any needed repairs of equipment or the facility. Notifies the appropriate repair services and follows the process until resolved.
· Handles invoicing, approval, reconciliation, and other matters with regard to the site’s finances, inventory, maintenance, etc.
· Works with and assists clinical leaders and staff to ensure a precise flow of the overall operation.
· Is responsible for direct supervision of non-medical personnel which will include hiring, orientation, evaluations and scheduling.
· Works with Finance team as necessary to ensure orderly and accurate reconciliation and forecasting.
· Works with outside vendors to establish cleaning and maintenance contracts.
· Coordinates the site’s administrative and business functions so that the operation is most efficient for all concerned.
· Directly supervises all chart room operations, credentialing processes, operation notes, pathology reports, bookings, front office procedures, billing and collections, accounts payable and daily cash receipts etc.
· Conducts administrative team meetings regularly.
· Responsible for petty cash and the accounting for the safekeeping of all of the center’s supplies and equipment.
· Arrange and maintain records for instrument and equipment maintenance and repairs.
· Responsible for receiving, inspecting, dispersing deliveries. This includes tracking orders, packing slips, equipment, supplies and equipment operating manuals.
· Implements safety precautions and provides continual vigilance against accidents, fire, theft, vandalism, harm and inappropriate use of supplies and equipment.
· Orientates new employees to the receiving area and supplies.
· Evaluate and revise materials management policies and procedures while collaborating with supervisor.
· Changes work schedules as required by administrator to adjust for special needs, absences and other unexpected occurrences.
· Is responsible for direct supervision of non-medical personnel which will include: hiring, orientation, evaluations, and scheduling.
· Is accountable for daily surgical case info (medical record, superbill, coding, billing, and dictations) and performs daily audits while reporting totals to Operations.
· Maintains and continuously reviews existing par levels of all stock and supplies for business office.
· After hours on-call for the alarm system.
· Directly supervise all chart room operations, bookings, front office procedures, billing and collections, accounts payable and daily cash receipts etc.
· Other duties as assigned or necessary.
Basic Requirements:
· Bachelors degree in business, healthcare administration, related field or comparable work experience.
· Working knowledge of medical administration and medical chart administration.
· Experience in a private practice setting.
· Proficiency writing, communication, and presentation skills
· Proficiency Microsoft Office, Adobe Creative Suite
· Understanding of KPI and financial ledgers.
Preferred Qualifications:
· 3 years of administration in a procedure-based medical practice (preferably ASC site)
· 5 years of medical administration experience.
· Superior financial and analytics experience.
