Executive Assistant

Position Summary:

Teacher Created Materials is a 45-year old, award-winning publisher of educational and trade books and digital products. Reporting to the Executive Vice President of Strategic Partnerships, this individual will join a dynamic and entrepreneurial organization that values creative thinking, with a focus on meeting and exceeding goals.

This role supports strategic partnerships for corporate social responsibilities on projects that enhance the five major stakeholders within the organization – educators, students, employees, authors/presenters, community. This role requires excellent inter-personal skills within the organization, and with customer, community, and employee facing activities. This role will support the owner’s strategic projects and enhances executive's effectiveness by providing information management support, and representing the executive to others.

Essential Duties/Responsibilities:

  • Project management of community facing events including Read Across America, Teacher Appreciation events, Honor An Educators University partnerships, visits to our offices with the community.
  • Event planning activities (e.g., board meeting logistics, company meetings, sales meeting celebrations, hosting customers, employee celebrations, etc.)  in-office employee support and creating new impact projects.
  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating communications via email/telephone.
  • Manages executive’s appointment schedule to ensure maximum effectiveness and efficiency by managing emails and calendar; planning and scheduling meetings, teleconferences, conferences, and travel (domestic and international).
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Represents the executive by attending meetings in the executive's absence when requested; communicates approved messages for the executive, takes accurate notes and prepares concise summaries.
  • Communicates approved messages on behalf of the executive(s), delivering professional and concise written & verbal messages.
  • Completes projects; track results; prepares reports by collecting and analyzing information regarding budgets / donations / impacts.
  • Identifies and focuses on priorities/probabilities with attention to appropriate response.
  • Contributes to team effort by accomplishing related results as needed.
  • Works closely and cooperatively with all levels of management.
  • Create, proof read, review and fact check details of documents and correspondence.
  • Prepares expense reports, travel projects, Paycom utilization, maintains HR policy compliance.
  • Manages other assignments and projects as requested.

Qualifications


Minimum Qualifications:

  • 5 years’ experience supporting executive leaders or family business or corporate social responsibility
  • High proficiency of written language (grammar, editing, fact checking, synthesizing)
  • Effective interpersonal and verbal communication
  • Expert knowledge of Microsoft Office Suite, social media strategies, and newsletter creation
  • Strong culture fit
  • Acts with integrity and confidentiality
  • Time Management: prioritize and plan effectively to meet goals
  • Excellent presentation skills for a variety of audiences

Physical Requirements:

  • Sit for extended periods of time, including at a computer
  • Occasional lifting up to 50 lbs.

  • Repetitive hand and wrist movements for frequent use of computer keyboard and mouse.

  • General office environment.
