Responsibilities

Terros Health is hiring a Human Resources Assistant to join our friendly, dynamic HR Team in Central Phoenix.

Full-Time: Monday-Friday, 8am-5pm

Location: Central Ave / Thomas Rd

Proficiency using Word, Excel and Outlook is required

The HR Assistant position provides administrative support for the HR Department and other departments, as needed. This position serves as the first point of contact to visitors and employees at Terros Health’s main administration office located near Thomas Rd/ Central Ave.

Duties include, but not limited to:

  • Must complete the following front desk daily operations efficiently and accurately:
  • Receptionist - customer service
  • Greet visitors and handle any request
  • Answer phones
  • Mass emailing
  • Validate parking tickets
  • Data entry
  • Scanning, copying, and filing
  • Laminate paper per request
  • Handle incoming and outgoing mail
  • Must complete data entry in e3 accurately and timely, as needed
  • Responsible for printing badges for new hires, employees, contractors and agency staff and replacement badges for current employees, contractors, and agency staff.
  • Respond to HR Terros Health Support Service Center (Footprints) requests in a timely and accurate manner.
  • Order office supplies for the HR Department.
  • Act as Trip Reduction Program Coordinator for Terros Health in Maricopa County. This includes annual plan submittal, site surveys, annual audit, monthly drawings through Share the Ride online website and organizing the Holiday party.
  • Assist with maintaining employee files in HRIS and on the P drive.
  • Assist with updating and maintaining job descriptions and performance evaluation templates.
  • Process fingerprint clearance card requests:
    • Any staff needing renewal and new employees.
    • Upload to e3 and P drive
    • Request inter-office check from Accounts Payable.
    • Includes auditing and following up with employees and others that have expiring fingerprint clearance cards.

  • Process requests for verifications of employments in a timely and accurate manner.
  • Respond to subpoenas served on Terros Health for employee records and forward other subpoenas to respective departments in a timely manner
  • Responsible for scheduling CPR trainings for Terros Health employees which includes selecting CPR vendor, scheduling future trainings, and entering trainings in Relias.
  • Ensure all Terros Health worksites have federal, state, and local employment law posters
  • Auditing and reporting on various items as requested by Human Resources department management, including performance evaluations, fingerprint clearance cards, and MVR checks on driving positions
  • Administer the service awards program

Qualifications

  • Must possess a high school diploma or equivalent
  • Preferred: CPR/First Aid and AED Certified
  • Must possess time management, organizational, conflict resolution and judgement skills.
  • Demonstrated ability to establish a rapport with visits, clients and staff
  • Proficiency using the MS Office suite, particularly Word, Excel and Outlook.
  • Must have a valid Arizona Fingerprint Clearance card or apply for an Arizona Fingerprint Clearance Card (Level 1) within 7 working days of assuming role.
  • Must pass TB test.
  • This role is a non-driving position. This position is performed at one location and does not require travel to various Terros Health centers on a regular basis. May be 18 years of age and with less than two years’ driving experience or no driving experience.
  • Must pass a Drug Screen and TB Test
  • Must be in compliance with Terros Health’s policy for COVID-19 vaccination
