What are the responsibilities and job description for the Executive Associate - Leader and Culture Development position at Texas Tech University System?

Performs administrative and coordinative work in direct support of an executive officer, including such functions as planning, budgeting, supervision and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision with evaluation based on results obtained.  This role plays a crucial part in ensuring the smooth functioning of the department and facilitating the execution of leader and culture development initiatives.Key Responsibilities:
Executive Support:

•    Manage the Vice Chancellor’s calendar, including scheduling high-priority and confidential meetings and events.
•    Proactively restructure calendars to improve office efficiency.
•    Coordinate all administrative support for the Vice Chancellor, Associate Vice Chancellor, and Assistant Vice Chancellor.
•    Process travel reimbursements, PCard expenses, and manage all invoices for the Leader and Culture Development Office.
•    Provide logistical and administrative support for executive searches.
Administrative and Communication Support:
•    Draft and proof correspondence related to leader development coaching and letters of recommendation.
•    Manage email communications, documents, and files for the Vice Chancellor and Associate Vice Chancellor.
•    Prepare and distribute materials for meetings, ensuring accuracy and timeliness.
•    Handle highly sensitive information with professionalism and discretion.
•    Proactively identify areas for improvement and lead the team when needed.
•    Speak up and push back to help the team reach higher levels of support.
Office Operations and Management:
•    Order office supplies, books, and equipment as needed.
•    Maintain an organized filing system for departmental documents.
•    Manage office property and equipment to ensure functionality.
•    Support the implementation of values-based culture initiatives and key departmental events.
•    Build and maintain strong relationships with internal and external stakeholders to advance organizational goals.

Additional Responsibilities:
•    Perform other duties as assigned or required to support the success of the department and institution.
•    Use initiative to seek other responsibilities based on individual strengths and desires.
•    Work with team to design ideal career path.Bachelor's degree required in related area plus six years progressively responsible administrative experience including supervisory experience; OR a combination of education and/or experience totaling ten years.

Salary : $4,000 - $10,000
