The Face Place is searching for a bold, driven, and ultra-organized Office Manager to be the backbone of our Aesthetic Clinic’s daily operations. You’ll play a pivotal role in ensuring our Aesthetic clinic runs like a well-oiled machine, enhancing our ability to deliver exceptional care to our patients while supporting the owner and clinic team.
Key Responsibilities:
HR and Administrative Support:
- Oversee and maintain accurate patient and employee records with strict confidentiality.
- Schedule and coordinate interviews, screen candidates, and support hiring processes.
- Assist with HR tasks, including correspondence, meeting preparation, and monthly specials.
Office Operations:
- Manage office supplies and inventory, placing orders and ensuring stock is always sufficient.
- Keep the office environment organized, professional, clean, and welcoming—including decorating for holidays and special occasions.
- Greet visitors, manage the front desk if needed, handle deliveries, and liaise with vendors and reps from other companies
- Run errands or delegate as needed to keep operations seamless.
Executive Support:
- Manage and organize the office calendar, prioritizing and scheduling meetings, appointments, and travel.
- Prepare materials, presentations, and reports for meetings and weekly huddles
- Handle communications on behalf of the CEO, including drafting thank-you notes and holiday cards.
- Maintain strict confidentiality while supporting the CEO’s activities.
Financial and Reporting:
- Maintain QuickBooks for multiple entities, manage accounts payable, and coordinate with the CPA.
- Prepare accurate monthly revenue projections and other financial reports.
- Assist with restructuring reports for operational analysis and track new/lost business.
Communication and Vendor Management:
- Serve as the main point of contact for vendors and ensure smooth interactions.
- Answer phones as needed, direct calls, and provide exceptional customer service to all visitors and callers.
Event Coordination:
- Attend and participate in after-hours events to promote the clinic and build relationships.
- Support team initiatives by organizing and executing event-related tasks.
Work Environment:
- Full-time, in-office position in a fast-paced and dynamic setting.
- Flexibility and a can-do attitude are essential for success in this role. Remote work is not an option.
Compensation and Benefits:
- Salary: $45,000 - $55,000/year- depending on experience
- Hours: 40 hours/week (Monday to Friday, 8-hour shifts).
- Perks: Paid time off, Holiday pay, free or discounted services and procedures at the clinic.

- Excellent communication and organizational abilities
- Proficiency in QuickBooks and budgeting
- Experience in event planning and vendor management
- Familiarity with payroll and human resources functions
- Ability to manage schedules and train team members
- Knowledge of medical office management is a MUST
