The Opportunity

The Evaluation Coordinator is responsible for ensuring all administrative and logistics tasks necessary for the timely implementation of evaluation assignments. These include: preparing draft contracts for evaluation consultants, collecting and verifying the accuracy of expense reports, arrange all travel details (DSA, flights, Travel Justification Forms, insurance, etc). Reporting to the Director of Evaluation, you’ll work in close coordination with the Evaluation Managers and the Finance team, participate in departmental and Evaluation Manager’s meetings and decisively contribute to the operationalization of the evaluation assignments.

 

This is a remote role to be based in a location where KonTerra is registered that will typically operate during Eastern Time zone business hours and perform these, and other essential duties as required:

 

What You’ll Do

  • The Evaluation Coordinator will be the primary counterpart for the Finance department for finance, administrative and logistics issues.
  • The Evaluation Coordinator will be in charge of ensuring that all administrative and logistics matters related to evaluations are prepared on time. This includes:
    • Contracts & onboarding: Prepare contracts with consultants and submit to Evaluation Managers for approval and update roster folder with documents from consultants.
    • Expense reports: receive expense reports from team members and review them before submission to Finance department. Liaise with consultants as necessary
    • Logistics: arange travel details (flights, prepare draft Travel Justification forms, DSAs, insurance, etc.) of all evaluation consultants, following evaluation plans and with guidance from Evaluation Managers. Develop a checklist for logistics and apply it systematically to field preparation.
  • The Evaluation Coordinator will develop and update a tool for evaluation management that maps all evaluation deliverables and phases and their evolution overtime and will update the department's global database regularly.
  • As time permits, the Evaluation Coordinator will support on-going evaluations through contribution to the development of products, infographics, summaries, annexes and formatting tasks.
  • The Evaluation Coordinator will be part of the Evaluation department, participate in regular departmental and Evaluation Manager meetings and be updated on the implementation of evaluations plans. The Coordinator will also interact regularly with evaluation consultants as needed to fulfill tasks.

 

The Skills and Experience You’ll Need

  • Three years of work experience in positions dealing with administrative and logistics tasks
  • Experience working in a cross-cultural environment
  • Organized and systematic
  • Fluent English
  • Diplomacy and strong communications skills
  • Strong orientation to results
  • Ability to meet deadlines, multitask, and work well with others in a fast-paced environment.
  • Proven problem-solving agility and ability to remain calm under pressure.
  • Proven ability to work both independently and as an effective team member.
