Overview
Copley Hospital, located in Morrisville/Stowe VT, is in search of a Clinic Supervisor to join our team at the Women's Center! Reporting to the Senior Leader overseeing the clinic, the Clinic Supervisor leads and inspires staff while managing the business, day-to-day operations, and supporting patient care functions. Responsible for all functions of the clinic. Responsible for FTE management, relationship with hospital departments, patient access, administrative and financial analysis, care coordination of clinical services and communication, space management, clinical outcomes, quality and safety reporting, revenue cycle management, policy development and deployment. Develops project plans to ensure department goals and effective operations of clinical practice are met. Will work with Practitioners, Chief Medical Officer, and Chief Nursing Officer to ensure an overall effective operation of the clinical practice.
This position is Full-time (PT option available).

Responsibilities
Clinic Office Management:
* Develop, implement and maintain office policies and procedures
* Monitor productivity of providers and oversee finances including payroll, benefits, reimbursement and budgets
* Ensure efficient and accurate provider credentialing
* Maintain call and surgery schedule for providers
* Ensure compliance of office with OSHA, bloodborne pathogens, HIPAA, Medicare regulations
* Assist in development and implementation of marketing plan, keep website updated
* Maintain educational materials and brochures, plan and implement staff community events
* Purchase and restock office supplies Staff / Customer Management
* Interview, hire and train a productive clinic office team
* Conduct performance reviews, provide for personal development of staff, and encourage retention
* Supervise clerical staff members ensuring patient scheduling, registration, financial counseling, data entry and processing, and cash posting meet high standards
* Maintain staff work schedule to ensure adequate staffing and vacation schedule
* Set agenda and run staff meetings
* Promote excellent customer service
* Respond maturely and sensitively address patient grievances
* Problem-solve in daily operations for non-medical issues
* Responsible for assuring accurate and timely entries of pertinent medical information on all patients: telephone encounters, reports and medical records from outside facilities, progress notes, refills/prescriptions, no shows and cancellations.
* Ensures release of medical information forms are filled out by patients.
Provider relations and oversight:
* Assists in the coordination of scheduling: meetings, seminars, office/patient appointments, hospital obligations, committee meetings, depositions/court appearance, and other as required.
* Ensures barriers are removed so providers can meet meaningful use and can complete charts timely in clinic and in the hospital. Provides reminders to providers as needed to ensure timely signing of records.
* Assists the physicians/providers with office/personnel matters.
* Holds regular weekly meetings with physicians, midwives, PA/NPs and clinic supervisors/Leads and staff to determine clinic needs and communicate updates.
* Serves as a resource for physicians/providers to assist in accessing hospital resources, planning projects, strategic planning, marketing and development of the practice, understanding their performance and contribution to their group and other misc.
Quality:
* Responsible for developing and implementing quality improvement monitoring and improvement plans.
* Responsible for assuring good patient relations in written communication, timely responses to patient complaints
* Encourage team work, problem-solving and efficiency analysis with providers & staff.
* Responsible for managing all standards of Rural Health Clinic designation to ensure a constant state of regulatory readiness
Qualifications
Education Required:
* Associate degree or certification equivalent
Experience Required:
* Two years customer services and/or one year of supervisor experience.
Experience Desired:
* Management/Leadership experience in ambulatory care, Project Management
Skill Requirements:
* Strong administrative, accounting, management, and organizational skills.
* Ability to manage multiple projects effectively.
* Strong interpersonal skills and attention to detail.
* Must have a mature and professional demeanor as well as possess mastery in customer service.
* Must be able to communicate clearly and effectively.
* Ability to work effectively under stress and prioritize in a fast-paced environment.
