Position Summary
The Operations Officer at Pingry’s Short Hills Campus will report directly to the Assistant Director of Operations. This position will also collaborate with the Lower School Office, Short Hills Campus Operations Lead, and the Short Hills Campus Building Trades Supervisor to ensure operational excellence, a secure learning environment, and manage campus events. This is a full-time, 12-month position. The candidate must also be committed to driving Diversity, Equity, Inclusion, and Belonging (DEIB) within the decision-making process across the Operations Team.

Responsibilities
- Support the Assistant Director of Operations and Short Hills Campus Operations Lead in all aspects of the operational needs of the Short Hills Campus.
- Support departmental collaboration with various Pingry Events planning committees regarding executing events at the Short Hills Campus, including Pingry’s Auxiliary Department, Lower School Office, Athletics Department, Facilities Department, Office of Institutional Advancement, and the PSPA.
- Maintain current knowledge of the Standard Response Protocol (SRP), Emergency Notification Technology, and Pingry’s Emergency Operating Plan.
- Enforce the visitor sign-in policy using Pingry’s visitor management system, School Pass. This includes management of visitor lists for school-sponsored events and daily visitor arrivals.
- Collaborate with the SH Campus Lead and Lower School Leadership Team to execute monthly safety drills at the Short Hills Campus.
- Admit and greet all visitors and provide directive assistance as appropriate.
- Ensure all wayfinding and safety-related signage is prominently displayed and in good condition.
- Model and reinforce The Pingry School’s Honor Code and Lower School Code of Conduct.
- Conduct daily interior and exterior campus security rounds to observe and report risks and ensure the safety of the Lower School.
- Ensure all doors are securely locked and conduct a thorough check of the premises at the end of each day before leaving campus.
- Collaborate with the Facilities team to ensure facilities-based security measures are in place and functioning appropriately.
- Receive and organize deliveries and mail to ensure prompt distribution.
- Implement procedures and operational duties as assigned by the SH Campus Lead.
- Maintain a presence near the parking lots and building access points to ensure student safety during arrival, dismissal, and other high-volume activities on campus.
- Manage summer campus usage via collaboration with the Auxiliary Programs Department and Lower School Office.
- Maintain an understanding of bussing schedules and procedures and reinforce with the community as needed.
- Liaise with auxiliary rental groups as needed.
- Serve as a Pingry representative to assist with campus visitors' and event spectators' needs.
- Collaborates closely with the Lower School Nurse to ensure alignment and collaboration on various critical operational aspects such as school safety drills, incident management, campus events, supplies, and shared resources.
- Use the calendar and weekly activity briefings to know and understand who should be on campus, when, for how long, and for what purpose.
- Other duties as assigned.
Qualifications
- Excellent organization, interpersonal communication (oral and written), and human relations skills with the ability to facilitate difficult conversations.
- Ability to foster good working relationships with employees, community members, and other school stakeholders.
- Strong collaborative skills that display the ability to support Pingry internal and external stakeholders, especially Pingry students, employees, and families, professionally.
- Proficient user of Excel, Word, Zoom, and Google Suite
- Strong personal management skills are required.
- The ability to multitask and manage competing priorities in a fast-paced environment.
- Proven experience in crisis management.
- Certification in First Aid, Bleeding Control, New Jersey Security Officer (NJSORA), CPR, and AED (or willingness to obtain after employment).
- Must be able to balance working autonomously and as part of a team.
