The Executive Administrative Assistant is responsible for the coordination and management of schedules, activities, and providing administrative support for the Executive. Duties & Responsibilities : Responsibilities including but not limited to : Performs complex and confidential secretarial functions including developing and typing taped dictation or written correspondence. Responds to routine external correspondence. Manage Executive Director's calendar and independently schedules appointments Prepare invoices, reports, memos, letters, financial statements and other documents, using word processing, spreadsheet, database, or presentation software Screen incoming calls from staff, media, community and business leaders and correspondence and responds independently when possible Prepare memorandums outlining and explaining communications procedures and policies to internal staff. Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution Open, sort, and distribute incoming correspondence, including faxes and email Develops and maintains positive relationships with collaborating organizations, and multiple internal departments throughout Represent Executives in staff meetings and other functions when they are unable to attend Organize programs, events, meetings or briefings by arranging for facilities and caterers, issuing information or invitations, and coordinating speakers.
