What are the responsibilities and job description for the Ticketing and Data Associate position at The Wilma Theater?

The Ticketing and Data Associate is responsible for providing excellent customer service to The Wilma Theater’s guests and is the in-house Tessitura expert in Marketing and Front of House assisting the Marketing Department with list-building, reporting and other tasks that support outreach to our base of current, past, and potential patrons.

The Ticketing and Data Associate reports to the Audience Engagement Manager and Marketing and Design Manager.

Responsibilities

  • In Tessitura:
  • Ticketing and Event Configuration
  • Build season in Tessitura and list both subscriptions and digital subscriptions for sale. Collaborate with marketing, production, and talent departments to gather event details and ensure accurate setup.
  • Build other show houses and events as needed for presented shows or rentals being sold through the Wilma’s website.
  • Configure ticket pricing, promo codes, holds, and other promotions as requested.
  • Update show schedule and details as needed on website and in our internal tracking matrix.
  • Work with Marketing to streamline the purchase path and online flow of the ticket buying experience on the website.
  • Reporting and List Management
  • Send weekly ticket sales report to full staff and other reports as needed.
  • Analyze reports and call attention to any areas that need attention.
  • Build and deliver lists for Marketing e-blasts in a timely manner.
  • Proactively address patterns and process improvements in our reporting that can help us to better serve our mission and patrons.
  • Optimize our data practices
  • Clean up and maintain existing data and suggest best practices through the organization as a Tessitura power-user.
  • Optimize the Wilma’s Tessitura usage and tracking capabilities so that we are gathering useful data that we can report on.
  • Serve as an operations committee member for the Philadelphia Regional Arts Consortium to cross-share information with fellow arts organizations to and from the Wilma
  • Group Ticket Sales
  • Oversee outreach and booking of Group Sales for every show with the goal of a 10% increase in sales.
  • Administrative Support and Box Office Operations
  • Conduct ticket sales by phone, mail, and in person with a high standard for professionalism, customer service, and efficiency.
  • Serve as one of the first points of contact for the organization, greeting guests, receiving packages, and ensuring mail and deliveries are forwarded promptly to the appropriate individuals.
  • Respond to emails in the box office (“tickets”) email and forward customer concerns as needed.
  • Demonstrate knowledge of the current shows and productions, and be able to answer basic questions about them.
  • Ensure that all checks and cash are reconciled and closed out in Tessitura at the end of each box office shift. This includes training box office staff in this when you are not present.
  • Collaboration across departments
  • Support development on Opening Night, by handling ticket donation requests, and any other tessitura related tasks in relationship to donors.
  • Assist Marketing Department with outreach initiatives by phone, mail, and email including group sales above and scheduled marketing blitzes.

Position Qualifications

We are looking for a team player who can manage box officer shifts as needed and work closely with the Audience Engagement Manager on training box officers in Tessitura. The ideal candidate has Tessitura experience and is passionate about The Wilma’s values, improving processes, and about clean data practices.

Location and Schedule

30 hours/week, Monday – Friday in between shows and Wednesday – Sunday during productions

Administrative office hours are Monday through Friday, 10:00 am to 6:00 pm, unless otherwise established by your supervisor or the Managing Director to meet the theater’s needs.

From time to time, you may be required to work outside of normal business hours.

All administrative staff are required to work Opening Nights and the Fete gala, which can occur outside of normal business hours.

Compensation and Benefits

This is a regular part-time, exempt role with compensation of $39,000/annually.

The Wilma Theater strongly recommends all employees, whose work requires their physical presence on-site at spaces managed and operated by The Wilma Theater, to be fully vaccinated and up to date with the Pfizer-BioNTech or Moderna (bivalent) vaccine. Being “fully vaccinated” and “up to date” as defined by the CDC, is more than 14 calendar days following receipt of a final dose of the Food and Drug Administration (FDA) or World Health Organization (WHO) authorized vaccine.
