What are the responsibilities and job description for the IT Savvy Office Manager position at Top Notch Group?

Small outpost of statewide IT service firm seeks a proven office manager to help keep the administrative side of our business running smoothly overall. Our team of network engineers, repair techs, and office staff have been servicing businesses, medical practices, and the general public for almost 20 years. Our location manager position is very much client and staff-facing. The right individual will know how to set an example when it comes to teamwork, dedication, and best practices. The ideal candidate will be comfortable managing administrative matters, as well as people. They will also be capable of making smart, important decisions with regards to IT infrastructure, security, and timeline/cost budgeting for ourselves and our clients. Experience in the tech sector is definitely a plus, but former managers from the retail & hospitality realms have also worked out well here.

You will report daily to our office in Falls Church. Occasionally, travel to our other locations will be required for staff training and meeting purposes. Plan on a normal 40-hr. schedule, but when duty calls, occasional night, weekend, and overtime shifts will be required. After an initial probationary period, employees will be eligible for health dental insurance and PTO benefits, as well as participation in our SPF-IRA program. A college degree is preferred, but candidates with equivalent experience and excellent writing skills may also be considered. Routine duties will include, but are not limited to:

-Answering phones, scheduling appointments, and cashiering duties

-HR generalist tasks and assistance with hiring process

-Billing/accounts payable

-Procurement, provisioning, logistics, and inventory management for a primary client who is geographically decentralized

-Oversight of our general incoming email support requests and sales inquiries

-Resolving client complaints & disputes regarding billing

-Working alongside our CIO utilizing metrics to boost personnel output

-Parts ordering, returns, & inventory management

-Occasional customer help desk support

-New employee trainings and orientations

-Handling issues with landlord(s) and company vehicle

As a smaller company, sometimes there is some overlap in roles. Ideal candidates will possess the following:

-At least 3 yrs. experience working in the IT services or similar office environment, with at least 1 in a management or supervisory position

-Strong technical skills, with at least a basic knowledge of networking, commercial IT, and computer repairs. Active Directory & Office 365 experience a plus.

-Experience with CRM, ERP, and Workflow Management products

-Superior organizational skills

-A hard working, can-do attitude

-Willingness to learn new things, and the ability to learn new concepts quickly

-Excellent customer service & conflict resolution skills

-A clean, professional appearance

-The ability to multitask and do well under pressure

-Excellent writing & communication skills

Long story short, we are seeking someone intelligent, well-spoken, fun, and ambitious who loves to work hard, be busy, and grow within the company. Compensation: $46,000-$57,500 per annum, depending on experience, OT, & bonuses

KPI’s:

  • % of local staff’s weekly, monthly, and quarterly tasks delivered on time
  • # of customer service or billing incidents escalated to C-level
  • CCC (cash conversion cycle) for our billing and collections process
  • # of sales orders processed/wk.
  • Productivity ratio of technical team

Job Type: Full-time

Pay: $22.50 - $27.50 per hour

Expected hours: 40 per week
