Description
Position Summary : The Administrative and Projects Assistant contributes to the success of United Way of Tarrant County by supporting administrative office duties, particularly for the Area Agency on Aging and the Communications and Marketing Departments.
Essential Duties and Responsibilities:
  • Supports the overall function of UWTC by greeting guests and visitors at the front door, meeting room set up (internal and external), conference room bookings, handling incoming phone calls and inquiries in a polite and professional manner and assisting with managing the mail, etc.
  • Assist with the planning, administration and traffic coordination of AAA and Marketing projects and activities, such as data entry and supporting committee meetings (scheduling meetings, sending calendar invitations, managing attendance, preparing materials, and developing meeting minutes)
  • Prepares and edits correspondence, presentations, reports, and memos
  • Creates, audits and updates shared file drives as needed, ensuring they remain current and relevant
  • Supports cross-departmental organizational activities, including special events, fundraising, and outreach opportunities
  • Provides administrative support as needed to the CCMO and AAA Executive Director
  • Provides support to other department priorities, as needed, e.g., strategic plan, annual budget, special initiatives and events, fundraising etc.
  • Maximizes staff efficiency by managing schedules and calendars, organizing meetings/conference calls, and anticipating next steps.
  • Coordinates follow up on all internal and external meetings. When needed, participates directly in meetings and following up with the relevant parties.
  • Drafts and edits communications (email, memos, letters, etc.), and proposals as needed, including summarizing memos and lists
  • Routes and uploads assets to Marketing project management system and assist Marketing staff with gathering assets and approvals
  • Assists with follow-up on assigned Marketing tasks in Marketing project management system
  • Provides support to Marketing and AAA staff members with projects as needed

  • Must be eligible to work in the United States (no sponsorship)
  • Excellent computer skills in MS Office (Word, Excel, Outlook, PowerPoint)
  • Experience coordinating videoconferences (Microsoft Teams, Zoom, Webex, etc.)
  • Highly motivated self-starter with a strong positive attitude and high level of initiative
  • Ability to be professional and exercise high standards of discretion and confidentiality
  • Strong collaborator that excels equally working on cross-functional teams and independently
  • Excellent organizational and time management skills; ability to prioritize work, manage time and multiple priorities, and meet deadlines; attention to detail and accuracy; the ability to set realistic goals and objectives
  • Strong verbal and written communication skills
  • Excellent communication skills in customer service and experience working as a company team member
  • Ability to fulfill the company's standards and values when performing administrative tasks
  • Computer competency for data entry and the production of reports and schedules
  • Must have strong interpersonal skills, maturity, reliability, dependability and good judgment
  • Must be able to effectively communicate with a diverse range of individuals
  • Experience with project management systems, such as Monday.com, a plus
Education/Experience Requirements:
  • High School Diploma/GED required; some college coursework preferred
  • 5 years of experience as an administrative professional, managing schedules and travel for executive-level managers required. Bachelor's Degree may be substituted in lieu of two years of experience.
  • Marketing/PR agency experience a plus
Personal Skills and Attributes:
  • Fluency in English required; fluency in Spanish preferred

Work Hours : Regular office hours; Monday-Friday 8 a.m. - 5 p.m., occasional flexible hours as needed. May require evening/weekend support for special events with advanced notice. Remote work is not permitted for this position.
