POSITION TITLE: Mail Services Supervisor - Position 20015891
JOB TITLE: Operations Supervisor 1, non-exempt, MR06
SUPERVISOR: Mark Shaffer 974-6462
Job Summary
Responsible for Mail Services operations as directed by the Assistant Director of Mail Services, including, but not limited to, support of the Student Union or other on-campus mail, passport, and shipping convenience centers. Leads and supervises both the full and part-time mail teams, including student workers. Trains staff and assigns and directs employees to ensure maximum operational efficiency and accuracy. Requires a customer service oriented approach with students, university partners, service providers, and employees. Manages and monitors mail routes and package delivery to lockers for efficiency and on time delivery. Assigns and establishes mail stops for every department on campus, including the migration to centralized mail pick-up lockers as they are phased into operations. Enters data for accounting, processes payroll, handles cash at service centers, and creates deposits and invoices as necessary. Requires Passport Acceptance Agent training to process passport applications. As needed, performs all functions at the Contract Post Office to include handling cash and cash register, maintaining stamp inventory, selling USPS services and supplies, processing money orders and completing daily deposits and USPS Form 1412.
Qualifications
MINIMUM QUALIFICATIONS:
High School graduate or equivalent – Associate or Bachelor degree preferred.
Minimum Of 1 Year Supervisory Experience.
Experience with mail service operations including inbound and outbound processing, sorting, and delivery.
Experience with postage meter machines and associated accounting.
Experience with cash handling, deposits, payroll and time collection.
Ability to work independently.
Possess strong supervisory and communication skills.
Able to follow and accurately perform cash handling procedures and the sale of accountable paper (postage stamps, money orders, etc.), as well as credit and debit card processing.
Knowledge of USPS rates and classifications.
Knowledge of UPS, FedEx and other third party vendor rates and shipping categories.
Ability to accurately complete and submit daily USPS deposits, Passport Office transmittals and deposits, and retail deposits and reconciliations.
Ability to learn and manage departmental mail delivery routes.
Ability to learn and use the package tracking and locker system software.
Knowledge of Microsoft Office suite, specifically Word and Excel.
Ability to serve as a designated reporter for the purposes of handling mail and packages even when the University is unexpectedly closed due to weather or other factors.
Experience With Passport Acceptance And Retail Postal Operations Preferred.
Experience with outbound multi-line shipping systems preferred.
Experience with package tracking systems and intelligent package locker systems preferred.
Experience with retail postal unit operations, including financial operations, preferred.
USPS EMCM certification or similar preferred.
US Dept. of State Passport Acceptance Agent certified preferred.
Knowledge of accounting systems (SAP, Oracle, etc.) preferred.
