Position Overview: The Clinical Supervisor is responsible for the oversight and support of clinical staff, including Medical Assistants, to ensure high-quality care delivery, smooth daily operations, and adherence to best practices in a clinical setting. This role includes staff supervision, training, performance evaluation, and workflow management, all while fostering a positive and collaborative environment.
Job Responsibilities:
Clinical Staff Coordination and Training:
- Oversee scheduling to ensure appropriate clinical coverage during operating hours.
- Facilitate the onboarding, orientation, and ongoing training of Medical Assistants.
- Ensure Medical Assistants maintain competence in clinical procedures, safety protocols, and patient interaction.
Performance Evaluation and Development:
- Monitor, evaluate, and document the performance of Medical Assistants.
- Provide constructive feedback and professional development opportunities to promote staff growth.
- Address performance issues promptly and effectively.
Workflow and Patient Flow Management:
- Coordinate clinical workflows to maximize efficiency, quality, and patient satisfaction.
- Address patient flow challenges by working collaboratively with front office and provider teams.
Privacy and Safety Assurance:
- Ensure all clinical operations comply with HIPAA regulations and maintain patient confidentiality.
- Enforce safety protocols and ensure a clean, organized, and safe clinical environment.
Clinical Supplies and Equipment Management:
- Monitor inventory levels for clinical supplies and equipment, ensuring availability and readiness.
- Coordinate maintenance and servicing of clinical equipment as needed.
Complaint Resolution and Quality Assurance:
- Investigate, document, and resolve clinical concerns from patients or staff promptly.
- Conduct regular audits of clinical work to ensure adherence to standards and best practices.
Collaboration and Leadership:
- Serve as a liaison between clinical staff, administrative staff, and providers to ensure effective communication.
- Share knowledge of best practices with other Vanguard offices and act as a resource for clinical peers.
- Assist in developing clinical policies and protocols as needed.
EHR and Documentation Competence:
- Maintain proficiency in the use of electronic health record (EHR) systems.
- Ensure Medical Assistants are documenting patient interactions accurately and thoroughly.
Other Duties and Support:
- Perform additional duties as assigned by Vanguard Medical Group.
- Support overall medical practice operations in collaboration with the Office Manager and Primary Care Operations Manager.
Qualifications:
- High school diploma or equivalent required; post-secondary education in a healthcare field preferred.
- Minimum of 3 years of experience in a medical office setting, with supervisory experience preferred.
- CMA certification preferred but not required.
- Knowledge of medical terminology and clinical procedures.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with electronic medical records (EMR) systems preferred.
- Strong communication, organizational, and leadership skills.
- Ability to multitask, prioritize tasks, and work effectively under pressure.
- BLS certification preferred.
