Summary/Objective
The Medical Program Director is responsible for overseeing the psychiatric services offered within the Volunteers of America Northern Rockies. This role ensures that all Medical Team operations comply with VOANR policies and procedures, and align with the organization’s mission of providing quality care to the communities. Key responsibilities include maintaining quality assurance and compliance with medical standards, managing the medical team’s performance, facilitating effective care coordination, and supporting program operations in line with strategic goals.
Essential Functions
- Responsible for managing the daily operations of the Medical Team, including maintaining calendars, agendas, and provider caseloads, as well as coordinating team meetings, student rotations, and patient appointments.
- Oversight of quarterly reviews and the distribution of review lists to medical providers in accordance with organizational standards and policies.
- Conduct monthly inventory of medication closets in collaboration with nursing team and oversee the processing of all incoming and outgoing lab slips.
- Provide timely documentation for medications-only clients, and collaborate with the Medical Team to review patient referrals and determine the appropriateness for medical services, while maintaining all medical information systems (MIS).
- Perform quality reviews of MAT program intakes to ensure compliance with enrollment protocols.
- Organize and manage supplies for the Medical Team, effectively communicating the staff’s needs to the VP of Residential Services.
- Assist in building a positive team culture and conduct medical staff meetings.
- Provide oversight and supervision to medical staff, establishing operational policies with direction from the Vice President of Residential Services.
- Review and assess trends in the VOANR critical incident system and liaise with local hospitals and facilities as needed, informing clinical staff of inpatient admissions and treatment progress.
- Process and organize QOL and SOR invoices, ensuring adherence to VOANR polices and procedures.

This job operates in a professional office environment. This role routinely uses standard office equipment such as laptops, photocopiers, and smartphones.

Position Type/Expected Hours of Work
This is a full-time position. Days and work hours are Monday through Friday, 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand. Administrative on–call.
Travel
Some travel is expected for this position.
Required Education, Experience, or Eligibility Qualifications
- A Bachelor’s degree in closely related field.
- Minimum of two years of medical office management experience.
- Highly proficient with Microsoft Office Suite products including; Word, Excel, PowerPoint, Microsoft Teams, Outlook and Adobe Acrobat.
- Highly skilled with video conferencing, Zoom, and app-based scheduling.
- Proficient in using Electronic Health Records (EHR). Netsmart and OrderConnect training provided during orientation.
Preferred Education and Experience
- Master’s degree in closely related field.
- Three to five or more years of experience in medical office management, supervising employees, and medical office experience.
