Washington Academy is seeking a highly motivated candidate for our Admissions Associate - Residential position.

Overview:

The Admissions Associate will serve the Academy as an ambassador within the community as well as globally, broadening awareness of and promoting the Academy by identifying and cultivating relationships. They will serve as a liaison to our international students within the international program and as a Residential Staff Member. This is a position for individuals who would like to work and live in a private secondary school setting alongside students while providing support and supervision of them in a dormitory building and environment.

The Associate serves as an initial contact for families and educational consultants and agencies who are interested in exploring and applying to Washington Academy, and provides support through the acceptance and enrollment of new students. The Associate is responsible for the administrative processes of responding to inquiries, proactively assisting families in completing applications, organizing Admission Committee meetings, and managing the communication of admission decisions. The Associate will also organize and assist with WA’s projection and enrollment processes.

This position provides personal administrative support to the Director of Admissions and general administrative support to the Admissions Department. Ability to work in a fast-paced environment where a high quality of customer service and attention to detail are expected. The ideal candidate will be a self-starter who wants to continually grow in their practice of communication, recruitment, and support of students while also maintaining their place on a strong team.

Responsibilities include:

  • Being the first point of contact for prospective families and educational consultants inquiring and applying to WA, including answering and directing incoming calls and managing the admissions office email address.
  • Providing information and support to prospective families from around the world and throughout the US with excellent customer service from initial inquiry through enrollment.
  • Inputting data and extracting information from Admission Office databases and spreadsheets in order to track applicants’ progress, facilitate event and screening planning, and provide reporting to school administrators.
  • Manage the scheduling of, preparation for, and processing of decisions for Admission Committee meetings.
  • Managing the Travel Planning Grid for the department by entering event details, and providing information to Marketing Staff for the website.
  • Managing the office schedule of staff meetings, tours and interviews, and prospective family visitors, especially to be able to report on department updates if other admissions associates or director are traveling
  • Planning and implementing all on-campus and virtual Admission Office events, with attendance as required on evenings and weekends.
  • Create, manage, and update each student’s electronic SEVIS Record. Maintaining proper documents in the SEVIS folder for each student.
  • Create, manage, and update each student’s electronic record on the shared drive; download SAO and Senior Systems Applications, access program applications, and standardized test scores.
  • Communicate with the Registrar to ensure enrollments are transferred and scheduling begins.
  • Communicate with Assistant Business Manager to ensure that enrollment and deposit deadlines are met.
  • Perform office manager tasks, including but not limited to: shipping materials via Fed-Ex, monitoring inventories of printed materials and promotional items, ordering office supplies and materials.

Qualifications

  • At least five years’ experience in an administrative support, project management, or similar role
  • High-level computer literacy in Google Suite, Microsoft Suite with excellent written and verbal communication skills
  • Ease with information and data tracking in student information systems and databases
  • Proven problem-solving and project management skills
  • The ability to exercise independent judgement and prioritize tasks and deadlines
  • Strong cross-cultural communication skills with international, rural, and indigenous students and colleagues
  • Ability to handle confidential information with discretion.
  • Ability and willingness to travel to offsite locations, including international sites, to represent Washington Academy

Preferred Qualifications

  • A bachelor’s degree
  • Database management experience
  • Experience in delivering results working collaboratively on a strong team

The successful candidate must hold a current CHRC (Criminal History Record Check) through the Maine Department of Education.
