Description

Position Summary:

The Home Office Receptionist serves as the first point of contact for visitors and employees, ensuring a professional and welcoming atmosphere. This role involves managing front-desk operations, coordinating office activities, and providing proactive administrative support to ensure smooth daily operations. A successful Home Office Receptionist excels in time management, pays close attention to detail, is a trustworthy team player, and takes pride in their work.  In addition, the Home Office Receptionist needs to be accountable, attentive, and capable of delivering excellent customer service when interacting with residents, associates, the Home Office and vendors.

           

Primary Responsibilities:

  • Greet and welcome visitors in a professional and friendly manner
  • Proactively manage the front desk, including answering, screening, and forwarding incoming calls or taking detailed messages forwarding information to appropriate parties
  • Communicate with Recruiting/HR regularly and use internal tools to maintain knowledge of updated Home Office associates and Regional Leadership contacts 
  • Compose, edit and/or send anniversary emails; Mail monthly milestone anniversaries cards to all associates, including corporate employees
  • Display lists monthly of anniversaries and birthdays in common areas
  • Maintain accurate information and knowledge about Weidner, Customer Service and Regional Leadership contacts for all inquiries
  • Assist in preparing reports and drafting letters
  • Assist and support Executive Finance Assistant in the day-to-day operations including providing coverage during vacation and sick leave
  • Sort and distribute incoming faxes, mail and packages daily; prepare and ship outgoing mail and UPS/Priority Mail ships from all departments
  • Sign for certified letters, UPS, FedEx and any other couriers 
  • Code shipping invoices and bills to appropriate departments
  • Monitor and organize office and printer supplies; Placing supply orders and toner orders at least once a week as needed
  • Maintain all equipment; Scheduling repairs as needed
  • Ensure office and conference rooms are clean, orderly, and professionally presentable at all times
  • Monitor and maintain cleanliness in home office kitchens, including cleaning appliances and supplies; ensure refrigerators are cleaned at least one Friday per month
  • Create, organize and maintain all files while adhering to strict confidentiality protocols
  • Follow all company key logging and storing procedures
  • Regular and effective communication with Executive Finance Assistant and immediate supervisor
  • Promote safety and use of Personal Protective Equipment (PPE) to minimize exposure to hazards that cause workplace injury and illness
  • Inspect, respond to, and follow up with safety issues, accidents, liabilities and emergency situations immediately

Qualifications


  • Prior customer service experienced required
  • Experienced in Microsoft products required (Word, Excel, PowerPoint and Outlook)
  • High degree of integrity with ability to keep sensitive information confidential
  • Professional and positive demeanor and excellent interpersonal customer service skills
  • Strong organizationally and attention to detail; ability to manage multiple projects effectively and on-time
  • Type at least 50 wpm, preferred
  • Thorough knowledge of general office practices and procedures
  • Strong oral and written communication skills and ability to read and comprehend all various documents
  • Familiar with general accounting procedures 
  • Complete tasks in a safe and efficient manner
  • Ability to work in a fast-paced environment with strong motivation to learn & contribute on a daily basis
  • Able to give professional directions clearly in person, over the phone, email, and text 
  • Yardi and Paycom experience preferred; Willing and able to learn new software programs
  • Follow Weidner’s Mission, Vision and Values and comply with all Weidner policies and procedures as well as all Fair Housing, local, state/province, and federal laws
  • Prompt, regular attendance; wear company dress code / uniform & maintain professional appearance at all times
  • Work effectively and cooperatively in a team environment and/or independently
  • Ability to work outside of normal scheduled hours as needed
  • Willing and able to be assigned to other Weidner properties as needed
  • Detail oriented, well organized
  • Must agree to a criminal background check and sign an agreement for voluntary drug testing
  • Must have access to personal vehicle and/or reliable transportation, at all times
  • Driver’s license, vehicle and vehicle insurance must be valid and unexpired at all times and match the country in which associate will work
