BASIC FUNCTION: 

The Residential Manager works in cooperation with the site nurse and other professionals to ensure that client services are delivered as required per each client’s ISP.

 QUALIFICATIONS:

Must have High School diploma or GED; college experience preferred. Previous supervisory experience of at least one year is required, as well as at least one year of experience in IDD or other related social services field.

 REQUIREMENTS: 

·         Age 21 or older

·         Ability to lift 50 pounds and safely lift, turn, position and transfer individuals with physical disabilities.

·         Must have excellent communication skills, both oral and written.

·         Must have solid computer skills and understanding of MS Word, Excel and e-mail.

·         Must have strong organizational, problem solving and time management skills.

·         Must demonstrate integrity and ability to lead others.

·         Must have a belief in and understanding of agency’s mission, culture and ability to promote and communicate the philosophy, mission, culture and values to internal and external stakeholders.

·         Ability to prepare basic meals (read and follow recipe)

·         Must have reliable transportation, a valid Ohio driver’s license with four points or less, and auto insurance.

·         Must have satisfactory health, background check and drug test.

·         Ability to obtain med-pass certification within 90 days of hire.

·         Complete CBTLA within 6 months of hire. 

RESPONSIBILITIES:

Client Services:

·       Oversee the day-to-day functioning of the assigned site, coordinating care though the DRS, Medical Care Coordinators/Transporters, Nurses, QDDPs and Direct Care staff as applicable.

·       Supervise, coach and evaluate all staff at the site; includes managing personnel issues, ensuring compliance to agency’s personnel policies, and evaluating and reducing turnover.

·       Monitor staff documentation including UIR’s, Therap, and HRST.

·       Must work 20 fixed hours per week direct care. 

·         Assist in the MUI investigation process.

·         Ensure all UIR forms are complete and processed accurately and timely.

·         Ensure appropriate communication systems are in place between Residential and Day/Activity programs.

·         Maintain positive, proactive and communicative relationships with all client families/guardians to insure all parties involved with that client stay informed and involved. Intervene immediately to attend to any issues or potential issues that may arise with a family member/guardian, working directly with DRS.

·         Maintain up to date knowledge of all client’s ISPs—including all medical, psychiatric, behavioral, nutritional, social and physical needs and ensure that staff are adhering to each ISP.

 

Staff training and oversight:

·         Monitor and approve timesheets/punches and compare to weekly billing sheets.  Monitor and approve mileage reimbursements, time off requests and leaves of absences for all direct reports. Communicate with HR and payroll as needed and ensure all necessary documentation is complete and submitted.

·         Take call offs and schedule fill-ins.

·         Make relied upon recommendations on discipline, promotion, termination and hiring for their assigned site.

·         Work directly with DRS on all FMLA/LOA requests, Worker’s Compensation, ADA and employee corrective actions.

·         Document issues pertaining to staff corrective action and work with DRS to address.

·         Assist with client admissions/discharges.

·         Complete and submit all staff status change forms to DRS accurately and timely.

·         Ensure that each client has ample opportunity to get involved in their community and that community activities are planned and executed by staff.

·         May assist with meal preparation for residents and with specific residents as applicable.

·         Set up and coordinate staff meetings quarterly and as needed including agenda and training attachments.

·         Give input into the yearly evaluation process.

·         Participate in the on-call rotation.

 

Home Management:

·         Ensure that site is in compliance with all regulations—including fire drills, severe weather drills, crisis and emergency plans. Document accordingly and maintain those documents as required.

·         Ensure site is equipped to handle emergencies and stocked with appropriate supplies/kits and that each staff person is trained on their use.

 

Team Communication:

·         Directly communicate with DRS on needs that must be addressed with SA in getting changes made to ISP as needed.

·         Provide info to SA in preparation for ISP process and ensure new/revised ISP is implemented and staff are trained.

·         Identify the site hiring needs and work directly with the DRS and Human Resources to notify them of any openings and hiring needs.

·         Train, evaluate and mentor all direct reports, including bi-annual performance evaluations and ongoing feedback and coaching.  Including mission and culture.

 

Medical:

·         Ensure med cart is appropriately stocked and meets the MAR requirements.

·         Oversee medication administration and MAR documentation, ensuring clients are receiving proper medications and medication changes are implemented timely and without error.

Financial:

·         Manage each client’s banking—including personal billing, bank transactions, client budgeting, receipts, and monthly audits with Finance. 

·         Manage site’s monthly budget and ensure that site expenses fall within the allowed budget amount—including all payroll and household expenses.

·         Plan weekly menus and shop accordingly within household budget.

·         Manage each site’s monthly revenue and ensure that all billing is done accurately and timely and that utilization is maximized.

·         Manage staff scheduling—including monitoring overtime and ensuring OT budgets are not exceeded; ensure that schedules for each site meet the needs specified on the CPTs.

 

Compliance:

·        Ensure staff members are in compliance with all mandated training.

·       Participate in Licensure and Medicaid Surveys (where applicable).

·       Coordinate and facilitate meetings with staff on a regular basis.

·       Work directly with DRS and HR on building solid leadership abilities, including thorough understanding of HR policies and practices. 

·       Attendance is a required and essential expectation of the job.

·         This position is not eligible for remote work.  

·         Perform other duties as assigned.
