About the Role:
We are seeking a Personal Assistant / Executive Assistant to support the owner of Wells & Company Builders in both personal and professional tasks. The ideal candidate will be organized, proactive, and intuitive, with the ability to balance the dynamic needs of a thriving construction business. As the owner navigates between high-level project management and day-to-day business operations, your role will be essential in ensuring that things run smoothly behind the scenes.
In addition to managing administrative and logistical tasks, you’ll play a key role in helping maintain a balanced workflow, allowing the owner to focus on leading the company, nurturing client relationships, and overseeing project execution. You’ll need to be adaptable to the pace of the construction business while also helping the owner balance family responsibilities, ensuring both aspects of life receive the attention they deserve.
Key Responsibilities:
- Calendar & Email Management: Manage the owner’s daily schedule, ensuring appointments and meetings are well-organized. Keep the owner on track by coordinating with clients, vendors, and subcontractors to avoid any overlaps or missed opportunities.
- Task Prioritization: Help the owner manage competing priorities between client meetings, project site visits, and personal commitments. Ensure the most urgent tasks are completed while keeping an eye on long-term projects.
- Administrative Support: Assist with document preparation, invoice management, project tracking, and communication with clients and trade partners. Keep project records up to date and organized.
- Project Oversight & Coordination: Work closely with the owner on project timelines, ensuring that deadlines are met and client expectations are communicated clearly throughout the construction process. Be a reliable point of contact when the owner is unavailable.
- Vendor & Client Liaison: Help manage communication with subcontractors, suppliers, and clients. This includes scheduling site visits, answering routine questions, and ensuring that all parties are aligned on project details.
- Event & Travel Planning: Organize client events, company retreats, or any travel arrangements for site visits, ensuring all logistics are handled efficiently.
- Maintaining Balance: Understand the demands of running a family-owned business, and help create time for personal and family commitments by organizing and maintaining balance between work and home life.

Qualifications:
- Prior experience as a Personal Assistant, Executive Assistant, or similar role.
- Excellent organizational and multitasking skills.
- Familiarity with project management or construction industry experience is a plus.
- Strong communication and interpersonal skills.
- Ability to work independently and with minimal supervision.
- Discretion and a high level of professionalism.
