PURPOSE
Provides administrative assistance and operates computer system related to the Absence Reporting and Sub-Placement Program;
performs related work as required.
PERFORMANCE RESPONSIBILITIES
The primary function of an employee in this class is to provide administrative and clerical support for the District’s substitute and absence reporting programs.
Duties may include typing and preparing letters or documents using various software applications, entering data into District systems and applications, keeping absence records, logs, ledgers, and related documents and working within District and department specific processes and procedures.
The work is performed under the supervision of the Absence Reporting and Sub-Placement Supervisor. The primary duties of this class are performed in a general office environment.
ESSENTIAL DUTIES
Essential Duties and Responsibilities
- Performs administrative support functions related to the District’s Absence Reporting and Sub-Placement program;
- Answers incoming phone calls, accepts and records employee absence calls;
- Contacts substitute personnel for placements, availability or other issues;
- Records employee absences into computer systems;
- Trains users on absence reporting system;
- Operates standard and specialized office equipment, including computer hardware / software;
- Generates and distributes computer reports;
- Reviews absence reports for accuracy and completeness;
- Maintains absence reports and records;
- Conducts special research for long-term absences and substitute placement;
- Maintains regular telephone contact with substitutes, employes and school secretaries as needed;
- Maintains accurate absence and substitute data and records utilizing the computer;
- Types forms, letters and other documents;
- Performs scheduling / calendar duties for substitute orientations or other events;
- Performs all work duties and activities in accordance with District policies, procedures and safety practices.
Other Duties and Responsibilities
- Performs the duties of the Absence Reporting and Sub Placement Supervisor in that employee’s absence;
- Performs other related duties as required.
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of :
- Public relations and customer service techniques;
- Operation of standard and specialized office equipment including a personal computer and jo-related software such as Word, Excel, or others;
- English grammar and punctuation;
- Basic math, accounting and recordkeeping;
- Current office practices and procedures;
- Payroll processes as related to absence reporting;
- District policies and procedures.
Ability to :
- Manage and coordinate a large number of substitute personnel;
- Respond quickly and appropriately to absence calls and substitute placement;
- Prepare accurate and detailed statistical reports;
- Perform a wide variety of clerical and administrative support duties;
- Maintain records efficiently and accurately and to prepare clear and concise reports;
- Operate a variety of standard and specialized office equipment;
- Maintain effective working relationships with other school employees, substitute personnel, supervisory personnel, and to the public;
- Operate a personal computer including software applications appropriate to assigned duties;
- Communicate effectively both orally and in writing;
- Perform basic mathematical functions;
- Use logical and creative thought processes to develop solutions according to written specifications and / or oral instructions;
- Perform multiple tasks simultaneously, including handling interruptions, and return to and complete tasks in a timely manner;
- Maintain office, school, and individual confidentiality;
- Work independently.
QUALIFICATIONS
- High school diploma or GED equivalency; and
- Two years general office experience, preferably in a position requiring strong customer service or public relations skills; or
- Any equivalent combination of experience and training which provides the knowledge and abilities necessary to perform the work.
ESSENTIAL PHYSICAL ABILITIES
- Sufficient clarity of speech and hearing, with or without reasonable accommodation, which permits the employee to discern verbal instructions and communicate effectively on the telephone and in person;
- Sufficient visual acuity, with or without reasonable accommodation, which permits the employee to comprehend written work instructions and review and prepare documents and file them in a prescribed order, and organize documents and materials;
- Sufficient manual dexterity, with or without reasonable accommodation, which permits the employee to operate a person computer and standard office equipment;
- Sufficient personal mobility, agility, strength and physical reflexes, with or without reasonable accommodation, permits the employee to work at a keyboard for an extended period, move up to 20 pounds and work in an office environment.
