Program Development Coordinator

Job Overview
Reporting to the Director of Intercultural Arts and Media (iCAM), the Program Development Coordinator assists in carrying out the administrative responsibilities for the office and overall activity of iCAM, including but not limited to managing office operational priorities, overseeing student programming support, and communicating with campus offices/off-site vendors. The hours for this position are 30 hours per week, 10 months/year and 10 hours per week, 2 months/year.

Duties and Responsibilities

General responsibilities
1. Create an atmosphere and culture within the iCAM office that celebrates student leaders, their organizations, and programs.
2. Welcome guests to the office and provides an inviting, professional atmosphere for those visiting.
3. Maintain schedules via Outlook Calendar for the Director and student programming calendar and submit/process and schedule 25Live room reservations and event reservations for student leaders as needed.
4. Assist the Director in the management of the iCAM annual budget record keeping and monitor expenditures, accounting and purchasing paperwork for events and vendors, requisitions of supplies, and honorariums. Reconcile Director’s purchasing cards and expenses. Partners with Accounting in the management, inventory, and distribution of iCAM’s petty cash.
5. Manage iCAM email correspondence and student listserv distributions.
6. Provide support for Director’s communication, data collection, reports, and captures/distributes relevant information for project planning.
7. Coordinate student leader records including employment paperwork, team lists, involvement areas, administrative communication, and application and approval process for iCAM student organizations.
8. Manage student programming resources and supplies; oversee and organize the storage center located in iCAM.
9. Facilitate iCAM website updates.
10. Plan and execute various events for iCAM student leadership such as special commissioning programs, office socials, and receptions, and banquets.
11. Provides administrative support for iCAM student leader programming.
12. Collaborate on all logistics, scheduling, planning, and cross-divisional communication for the Student Development leadership training in August.
13. Oversee TouchNet management, training, and reporting regarding Marketplace.
14. Attend bi-weekly meeting with iCAM Director and graduate assistants.
15. Accept additional responsibilities as requested by the Director of iCAM.

Qualifications
1. Bachelor's degree required.
2. Excellent oral, written, and interpersonal and group communication skills.
3. Strong ability to work with diverse people, using tact and diplomacy, and the ability to maintain a high level of confidentiality.
4. Highly organized and self-motivated with strong administrative and collaborative skills.
5. Excellence in prioritizing tasks and projects, and scheduling ongoing work appropriately.
6. Flexible and available for occasional evening and weekend events.
7. Ability to meet regular deadlines and handle stressful situations with flexibility.
8. Ability to use a variety of computer applications. Proficiency in Microsoft Office applications, content management, spreadsheets, databases, reporting software, graphic editing software, storyboarding, multimedia, and other appropriate technologies.
9. Personable disposition for interfacing with students, parents, and campus offices; detail-oriented, reliable, and robust organizational skills.
10. Valid driver's license.

Physical Requirements
This description will likely address most office or classroom roles: The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 10 pounds.
