POSITION SUMMARY:
These general functions will be carried out in keeping with the Goals, Mission and Policies of the YMCA of the East Bay. Under the direction of the Workforce Department, responsible for coordinating and implementing the recruitment processes for ECI employees, assisting with onboarding activities and providing high-level administrative support.
ESSENTIAL FUNCTIONS:
1. Coordinate the key aspects of the hiring process including reviewing resumes, scheduling interviews and interview panels, reference checks, and pre-employment procedures.
2. Provide excellent customer service to potential candidates and participating staff to elevate the onboarding experiencing.
3. Organize and maintain the calendar of events for timely recruitment of candidates.
4. Assist with onboarding procedures under the supervision of the Workforce Manager, including new hire appointments.
5. Perform reference checks on Harver/Checkster
6. Coordinate with Human Resources to maintain a high standard of files to meet all compliance guidance (including uploading documents into UKG and ChildPlus)
7. Process administrative tasks in a timely and accurate manner to support the day-to-day tasks of the Workforce Department.
8. Provide administrative support when necessary for data entry processes related to new employee reporting systems so that compliance with federal/state and local employment laws and requirements are met.
9. Ensure excellent communications and coordination between ECI departments and the HR/Operations Team (including Mangers and Center Directors.
10. Manage the Call-out lines for teacher request for time off
11. Special projects and other duties as assigned.
MEASURE OF EFFECTIVENESS
This position has a primary impact on the YMCA's operations of the Head Start/Early Head Start program and employee satisfaction. Therefore, the effectiveness of the fulfillment of this position should be measured by:
1. Staff and/or volunteers will be recruited/hired and effectively onboarded and trained;
2. Human Resources records are accurately maintained;
3. Positive relationships will be developed with internal and external stakeholders
;4. Staffing levels are maintained at individual centers.

QUALIFICATIONS:
• AA degree or two years of equivalent coursework
• Ability to work on highly confidential documents
• Excellent oral/written communication and organizational skills
• Valid California Driver's License/proof of auto insurance/annual OMV check required
• Criminal record clearance and health requirements including TB and immunizations
• High level of proficiency in Microsoft Word, Excel, Outlook, database management and other computer programs and office equipment necessary to perform the duties of the job
