Head of Shared Services Poland, Vice President

A Head of Shared Services Poland, Vice President will be a senior role reporting to the State Street Bank International (SSBI) Chief of Staff and responsible for overseeing the service delivery, continuous improvement and transformation of shared service functions provided from Poland to SBBI, United Kingdom and Ireland with their oversight. This includes driving strategic initiatives, managing service delivery performance, and optimizing operational synergies across teams and servicing locations. The role requires strong governance experience, a transformation mindset, and the ability to lead cross-functional teams in a fast-paced, regulated environment. This individual will also serve as a key partner in developing the Shared Service Center of Excellence (CoE)model in Europe.

Responsibilities Include

  • Provide strategic leadership and oversight across all Shared Services functions provided from Poland (i.e. Outsourcing, Corporate Secretary, Volcker)
  • Drive operational excellence by identifying opportunities for process optimization to create capacity whilst ensuring best in class service delivery
  • Foster a culture of continuous improvement and transformation leveraging the effect of scale
  • Develop and implement a long-term roadmap for the Shared Services CoE in Poland.
  • Ensure high-quality, compliant and cost-effective service delivery aligned with agreed SLAs and KPIs
  • Drive remediation and continuous improvement programs in collaboration with global and local stakeholders and ensures strong controls are embedded in the process execution
  • Oversee Record Retention and Destruction Policy for SSBI through agreed target operating model with the functional/global stakeholders. Maintain ownership, governance and execution of the Policy in SSBI
  • Oversee, support or lead the execution of the agreed cross functional, high-impact projects supporting business strategy
  • Build business cases, deliver executive-level reporting, and act as consultant to senior stakeholders
  • Champion initiatives that maximize synergies across geographies and service lines
  • Ensure that new, or amended regulatory obligations, industry guidance and best practice applicable to SSBI/UK/Ireland are appropriately assessed and reflected in relevant frameworks and processes’ documentation
  • Lead teams and is focused on people development, performance management and keeping the right engagement and retention level. Is focused on building SME knowledge in their respective areas


Specific Qualifications / Skills

  • Proficiency in English is a must
  • High level proficiency in Microsoft Office Suite (Outlook, Word, Excel, SharePoint, PowerPoint)
  • Understanding of Lean or other process improvement concepts and experience in change management
  • Have very effective communication, influence skills and stakeholders management skills
  • Have excellent organizational and planning skills and attention to detail
  • Should be able to look holistically at the risks impacting the service delivery with the ability to “connect the dots” and form an articulated resilience risk opinion
  • Be able to proactively prioritize workload and manage own time effectively
  • Be proactive and demonstrate initiative; has a strong sense of ownership
  • Be a self-motivated and goal-oriented individual focused on tangible measure on the work
  • Be able to challenge the status quo, speak up and always find better ways of doing things
  • Be able to work under pressure to tight timelines
