Project Support is a unit in Project Delivery & Engineering, that provides support to our offshore wind farm projects within project management, project administration, project planning & analysis, document management and certification. Your role
We are looking for an experienced and proactive Team & Office Coordinator to join our Project Management Support department at Vattenfall. In this role, you will provide proactive administrative support to the Project Support Management Team. You will also play a key role in ensuring that our Copenhagen Office runs smoothly and effectively, and you bring a positive attitude to foster great energy at our office.
Your responsibilities will range from coordinating meetings and events, managing on/offboarding activities, managing SharePoint sites and communication channels, managing all practicalities at the Copenhagen Office, managing purchase orders and invoices, as well as engaging with key internal and external stakeholders.
Key deliverables and activities:
- Organsising meetings and events including all logistics.
- Recording minutes and actions and ensuring proactive follow up.
- Managing organization charts, distribution groups, department presentations and office handbooks.
- Managing Sharepoint sites and intranet pages.
- Managing on/offboarding processes and activities.
- Key point of contact for all enquiries related to Copenhagen Office.
- Managing all practicalities related to the Copenhagen Office (catering, guest cards, IT equipment, parking licences, deliveries, etc).
- Managing purchase order requests, invoice coding and approval processes.
- Actively participate in internal networks to ensure updated knowledge and aligned ways of working across departments and offices.
- Engage with key internal and external stakeholders, including receptions/facilities in other Danish locations.
Your profile / who are you?
You are independent, have a high degree of self-motivation and can adapt quickly to new and challenging situations. You have the ability to plan and prioritize your work to meet commitments aligned with organizational goals. You possess excellent interpersonal skills and can build partnerships to work effectively and support others in meeting shared objectives. You anticipate and balance the needs of multiple stakeholders. You are an excellent communicator who is able to listen, bring a message across clearly, retrieve the information needed and adapt to their audience.
As our new Team & Office Coordinator you should have a passion for sustainability and structured way of working. You are service-minded and a team player with a positive, open and honest mind-set, who actively engages people by asking, sharing, helping or asking for help.
- You have a minimum of 5-6 years working experience in a similar role
- Self-starter, demonstrating strong organizational, management, and coordination skills.
- All-round communicator with excellent oral, written, and interpersonal communication abilities.
- Ability to prioritize your workload, organize your time, and manage tasks efficiently in a fast-paced environment.
- Proactive, learn quickly and adapt easily to new circumstances.
- Ability to handle confidential and sensitive information in an appropriate manner.
- Proficient with O365 (Outlook, Word, Excel, PowerPoint, SharePoint, Teams and etc.)
- Proficient in procurement and finance software applications, preferably SAP.
- You are fluent in both English and Danish spoken and written.
- Experience working in multinational teams and organizations.
