Job Overview:
An Accounts Administrator will play a key role in the smooth operation of the company’s finance department. This position involves managing and maintaining accurate financial records, processing invoices, handling accounts payable and receivable, and providing general administrative support to the accounting and finance team. The role requires a strong attention to detail, good organizational skills, and a solid understanding of accounting principles. Previous experience using Quickbooks would be of benefit but not essential.
Key Responsibilities:
Accounts Payable:
Process and manage supplier invoices, ensuring proper approval and accurate coding.
Coordinate payments and maintain records of transactions.
Reconcile supplier statements and resolve discrepancies.
Accounts Receivable:
Assist with invoicing customers and tracking payments.
Follow up on overdue accounts, issuing reminders and maintaining customer records.
Prepare and maintain reports on outstanding receivables.
Data Entry and Reporting:
Accurately input financial data into the accounting software or spreadsheets.
Prepare and maintain various financial reports, including balance sheets, profit and loss statements, and cash flow reports.
Assist in the preparation of monthly, quarterly, and year-end financial reports.
Tax Compliance:
Assist in preparing various revenue returns, to include VAT returns, ensuring compliance with Irish tax regulations.
Support in the preparation of financial statements for annual audits.
Keep up to date with changes in tax laws and regulations.
General Administrative Support:
Provide administrative support to the finance department, including filing, document management, and handling correspondence.
Liaise with internal teams and external stakeholders, including suppliers, customers, and auditors.
Assist with Budgeting and Forecasting:
Help in the preparation of budget reports and financial forecasting.
Assist with monitoring actual expenditures versus budgeted figures and assist with financial analysis.
Key Skills and Qualifications:
Education & Experience:
A minimum of 1-2 years of experience in an accounts or finance-related role.
A relevant qualification in accounting or finance, such as a diploma in Accounting, a degree in Business or Finance, or similar is desirable but not essential if the candidate has relevant experience.
Knowledge of accounting software Quickbooks is highly advantageous.
Technical Skills:
Strong proficiency in Microsoft Excel (for creating reports, financial analysis, and data management).
Experience with accounting systems and software.
Knowledge:
A good understanding of Irish tax laws, VAT, and other financial regulations.
Familiarity with basic accounting principles
Personal Skills:
High attention to detail and accuracy.
Strong organisational and time-management skills.
Good communication and interpersonal skills, with the ability to work with colleagues across different departments.
Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
Proactive attitude with the ability to work independently and as part of a team.
