The Receptionist position (“R”) at Hogs Head Golf Club (“HHGC”) is a wonderful opportunity to join one of the top private, resort golf clubs in the world. The (“R”) position will work closely with the Front Office Manager, porters and the duty management of the property. Their role is to support the operation of the property whenever required. The (“R”) will report directly to the Front of House Manager. The (“R”) MUST possess the service gene and DNA with sincere and genuine desire to provide the ultimate experience for all HHGC Members and Guests.

JOB DESCRIPTION AND PRIMARY EXPECTATIONS

  • Responsible for providing a five-star level of service to all members & guests at Hogs Head Golf Club.
  • Create a welcoming, friendly, and approachable environment at the front desk assisting with all Hog and guests queries or needs.
  • Be on hand at all times throughout the shift to assist with the checking in and out of guests, luggage coordination, guest queries etc.
  • Provide room tours on check in for all guests staying in the Lodge & cottages.
  • Explain the hotel & room amenities and assist the guest with all dining reservations, day trips, golf or spa reservations.
  • Gather information pre arrival for all groups, liaising directly with the concierge team to understand every detail of the groups stay, requirements & billing instructions.
  • Ensure all guests details are correct on Jonas pre arrival. Collect any outstanding information on arrival and input into the Jonas database.
  • Coordinate daily with the housekeeping & mini bar team on all room arrivals/departures, laundry, special requests in rooms, room changes etc. to ensure the smooth running of the hotel.
  • Work with the porters and drivers co ordinating luggage, ensuring that all departing or arrival luggage is accounted for, tagged and safely delivered to the guest’s room or transportation.
  • To ensure guest security and privacy is maintained and respected at all times and adhere to all fire safety and security precautions to ensure the safety of our staff & guests.
  • Assist with promoting and making guest reservations for Gails Spa, Lough Currane bar and restaurant & McCarthys bar.
  • Process payments for guests checking out and balance all payments at the end of day to match the accounts.
  • Ensure all products and services are correctly charged for on all guests bills. Liaise with multiple departments on any billing queries to find a solution for the guest and fix the billing issue. Report any charge discrepancies or declined payments to the Front of House Manager & accounts team.
  • Run end of day reports on credit card machines and end of shift reports to match charges on shift with the numbers for accounts.
  • Answer telephone calls and emails throughout the shift & communicating messages to the front of house team & concierge departments.
  • Assisting other departments as required.
  • Adhere to all standard operating procedures and rules to ensure a safe and organised working environment.
  • Contribute to team effort by accomplishing related results as needed.
  • Respond to any enquiries in a timely, friendly, professional and efficient manner
  • Use excellent customer service skills to establish and maintain effective working relationships with other employees, Hogs and members of the public.
  • To actively live the brand values and engage others to do same.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

  • Previous experience in a 5-star Hotel environment is preferable but not a requirement.
  • Previous experience in a reception role desirable.
  • Must possess excellent guest service skills.
  • Attention to detail.
  • Highly organised.
  • Must have fluent English both oral and written.
  • Ability to work in a team environment.

  • Excellent communication skills, verbal and written.

· Have a positive attitude and excellent interpersonal skills.

  • Ability to work effectively with and present information to other department heads, staff and vendors.

PHYSICAL DEMANDS:

  • Must frequently lift and/or move up to 50 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, colour vision, peripheral vision, and depth perception.
  • Occasionally required to walk or move to various locations within the property; climb or balance; stoop, kneel, crouch, or crawl; and taste or smell.
  • A noise level in the work environment is usually quiet.
  • Schedule must be flexible to include weekends and holidays.
