Job Summary:
The Payroll Manager will be responsible for managing end-to-end payroll operations, streamlining processes through automation, and serving as a key liaison between our clients and payroll specialists. This role requires a keen eye for detail, strong organizational skills, and the ability to manage multiple client accounts effectively.
Key Responsibilities
Payroll Operations & Compliance
Oversee end-to-end payroll processing for full-time, contractor, and offshore employees, ensuring accuracy and timeliness.
Maintain and update employee payroll records, including wages, deductions, benefits, and tax withholdings.
Ensure payroll transactions comply with federal, state, and local tax regulations, compliance requirements, and company policies.
Review and approve payroll tax filings, wage reports, and reconciliations to prevent discrepancies.
Partner with HR, Finance, and external payroll providers (ADP preferred) to optimize payroll execution.
Serve as the escalation point for payroll-related inquiries, disputes, and compliance concerns.
Process Improvement & Automation
Analyze current payroll processes to identify inefficiencies and recommend improvements.
Implement automation solutions to reduce manual errors and administrative workload.
Standardize payroll workflows and ensure consistency in execution across all client accounts.
Evaluate and enhance payroll software performance, recommending updates as needed.
Client & Team Leadership
Lead, mentor, and develop a team of Payroll Specialists, fostering a high-performance culture.
Assist in client onboarding, ensuring payroll setups align with business requirements.
Build and maintain strong client relationships, proactively communicating deadlines, compliance changes, and payroll best practices.
Conduct training sessions for payroll team members to strengthen expertise and operational efficiency.
Support internal and external payroll audits, ensuring adherence to reporting standards.
Required Skills & Qualifications
5 years of payroll experience, including at least 2 years in a leadership or managerial role.
Strong understanding of payroll processes, tax regulations, wage laws, and compliance standards.
Proficiency with payroll software (ADP preferred) and general office tools (Google Suite, Excel).
Ability to analyze payroll data, identify trends, and implement process improvements.
Excellent organizational and multitasking skills with a keen attention to detail.
Strong written and verbal communication skills for internal coordination and client interactions.
High level of confidentiality and discretion when handling sensitive payroll data.
Preferred Qualifications
Experience working in a payroll or accounting firm handling multiple client accounts.
Experience managing payroll for multiple clients/employees (100 preferred).
Familiarity with labor laws, payroll tax regulations, and compliance requirements.
Associate’s or Bachelor’s degree in Business Administration, Human Resources, Accounting, or a related field.
Prior experience with process automation, payroll system implementation, or workflow enhancements.
Compensation and Benefits:
