What are the responsibilities and job description for the Postal Services Coordinator position at 1100 Applied Industrial Technologies, Inc.?
Primary Job Duties
- Manages the preparation, receipt, sorting, dispatch, or delivery of outgoing and incoming mail either originating from or destined to HQ Building.
- Postage administration, including serving as liaison to Postal Service Postal Commission Council.
- Responsible for implementing postal regulation changes, rates and ordering postage supplies.
- Monitors and adjusts postage accounts as needed.
- Coordinates and follows-up with 3rd party courier services.
- Manages of interbranch mail process.
- General administrative duties including office supply ordering, invoice filing and submittal, associate training, supervision and back-up.
- As able and requested, assist with Administrative Services and Facility Management programs.
- Other tasks as directed or required
Additional Tasks/Duties
- Assists and processes all Special Billing and Special Handling invoices.
- Administers coding and processing of department invoices into Onbase.
- Responsible for payroll and payment check mail processing.
- Oversees and trains mail services personnel; Verifies proper postal procedures are being followed.
- Manages Quadient postage meter operation and maintenance.
- Supervises and trains St Martin Des Porres students; Liaison with St Martin Des Porres.
- Updates mail bins for mergers, location moves, etc. (Corporate and Service Centers).
- Backup for Mail Clerks and Shipping/Receiving dock.
- Advises on mail requirements and proper postage. Updates rates on postage meters.
- Reviews and processes returned physical Invoices/Statements.
- Processes spoil postage and take to post office.
- Schedules supply and mail pickup (Bonnie Speed); Follows-up on pick-up and drop-off issues.
- Monitor postage account funds.
- Produces AP voucher (Postage Accounts) and any other vouchers.
- Submits invoices to Coding and verify payment discrepancies when needed.
- Document filing.
- May requite occasionally being on feet and moving for up to half of shift and occasional lifting up to 40lbs.
Education and Experience
- Associate’s degree Preferred and one to three years of experience.
- Strong organization and communications skills.
- Enhanced computer skill competency, particularly in Microsoft Outlook, Word and Excel
