What are the responsibilities and job description for the Assistant Director of Finance position at 1100 West Investments LLC?
POSITION PURPOSE
The Assistant Director of Finance will work closely with the Director of Finance to oversee the Accounting department, maintain accounting standards, established policy and procedures.
ESSENTIAL FUNCTIONS
- Completion of the monthly balance sheet reconciliations in M3 accounting software.
- Completion of the monthly close checklist in M3.
- Overseeing the accounts payable process to ensure the vendors are paid timely, and invoices are posted accurately for proper expense recognition.
- Oversee the accounts receivable process to ensure that bills are being submitted and collected timely.
- Overseeing the income audit process to ensure revenues are accurately stated and proper taxes are collected.
- Assisting Directors and managers in their financial reviews and analysis.
- Assisting Directors with their forecast and budget process.
- Managing the month-end closing process as utilizing the flow cast checklist.
- Preparation of monthly balance sheet reconciliations utilizing M3.
- Credit Card inquires, and charge backs are being addressed timely and disputes resolved.
- Checking and reconciling general ledger accounts and bank statements.
- Ensuring that Inventories are being conducted and reflect accurately on the month-end balance sheet.
- Assisting with maintaining and securing of assets, minimizing outstanding receivables and investments inventories.
- Assist the Director of Finance in coordinate and preparation of all operational budgets and forecast.
- Ensure all monthly financial statements are prepared accurate and timely.
- Secure and maintain all contracts, leases, legal and financial records.
- Effectively enforce department policies and procedures.
- Responsible to ensure all compliance are adhere to with local, state and federal laws and government regulations.
- Assist with Coordinating all financial audit periodically.
- Coordinate all internal financial training and development of department heads and managers.
- Understanding internal controls for hotel operations and accounting.
- Processing payroll on a bi-weekly basis.
MARGINAL FUNCTIONS
- Respond to any reasonable task assigned by Director of Finance and General Manager.
- Attend and conduct meetings as required both within the department and within the Hotel organizational structure.
- Ensure effective solution-oriented communication within the department and with other operation departments.
QUALIFICATIONS
- Experience in accounting and finance in hotel industry is a plus.
- Experience with hotel accounting software used at the hotels such as Lightspeed, Opera, Micros POS, Toast POS, M3 is preferred.
- 2 years of experience managing accounts and the accounting and finance process.
- Proficient in Microsoft Office / Intermediate understanding of Microsoft Excel.
- Ability to communicate effectively.
- Problem solving and analytical skills.
