Job Description
Key Responsibilities / Duties:
• Coordinates with the Macro lead to ensure the Macro conference center team has the information they need to handle day-to-day planning and on-site logistics for all meetings and events that take place in the Atlanta and Houston conference centers.
• Serves as the primary contact for any meeting/event taking place in the Atlanta/Houston conference centers. This will require interaction with Executive Leadership Team, Board Members, Clients, Government Officials, Community Leaders and other VIP’s.
• Responsible for the development and communication of Standard Operating Procedures and works with the manager who handles New York and Downers Grove conference centers to create consistencies and efficiencies.
• Continually analyze meeting and event needs and inserts creative ideas to upgrade the meeting experience.
• Continually focuses on providing the best value (balancing level of meeting and budget).
• Serve as an integral team member to analyze technology for booking rooms in the conference centers and find solutions for a streamlined process from the time of the request through the end of the event.
• Works closely with the Corporate Events team to promote a “one team” experience while utilizing resources for increased efficiency.
• Directly responsible for having updated and accurate information in Cvent to create accurate and timely reports that are shared with executive leadership.
• Works effectively and productively with staff and various vendors to coordinate the logistical details of the event. Also coordinates closely with facilities, technology and global security to provide a seamless experience.
• Prioritizes workload which will consist of VIP meetings, daily meetings and catering, managerial tasks and administrative demands.
• Responsible for catering set up & clean up, re-arranging last minute furniture changes, post event room & food clean up (including washing dishes)
• May have to delegate to others or contribute as an individual to ensure tasks are completed in time and to client standards
• Serves as a visible and accessible contact during the higher Tier events to resolve any problems or challengers that may arise.
• Receives, reviews and processes event invoices. Researches and resolves any billing discrepancies promptly
• May travel to off-site vendor/caterer locations to finalize arrangements and pick-up or drop-off supplies/equipment
• Monitors and evaluates the performance of outside vendors and caterers
• Identifies and provides solutions while making appropriate decisions quickly and decisively
Work Experience / Knowledge:
• A minimum of 5 years of meeting planning or Catering Experience
• Knowledge of hotel and restaurant services, venues and properties
• Strong technology skills and experience working within Cvent is a benefit

• Interpersonal skills necessary to effectively communicate over the phone with a variety of individuals at all technical levels are required

Formal Education:
• A Bachelor’s Degree in Hotel Restaurant Management and/or equivalent work experience
Working Conditions:
• The ability to lift, carry or otherwise move objects of up to 35 pounds is also necessary.
• Hours may include early mornings, late evenings and/or weekends and may include 24 hour a day on call support by cell phone
• Travel to other cities to support other conference centers or corporate events may be required.
